ADMINISTRATIVE ASSISTANT


Excellent Part-time Opportunity at a Growing Company!


Bring your administrative assistant or executive assistant and office support skills to an innovative, friendly, team-oriented, healthcare services company! Seeking people with experience providing personal and admin support for executives or management.


Candidates with relevant experience from any industry are welcome to apply!


Part-time, 3 weekdays per week, 9:00 AM-3:00 PM or 10:00 AM-4:00 PM shift, onsite at our headquarters in Maitland, FL. Direct-hire, temp role, 5-6 months with potential for longer term, based on company needs. May be eligible for paid holidays. More info below!


Qualifications:


  • 1-3 years of experience in an administrative assistant, executive support or office support role, required.
  • High School Diploma, required. Associates Degree or higher level education, preferred.
  • Proficiency with Microsoft Office Suite, required. Proficiency with Adobe Suite, a plus.
  • Absolute loyalty, trustworthiness, friendliness, and professionalism at all times.
  • Strength of character, adaptability, and the ability to be very resourceful.
  • Strong work ethic, able to execute tasks with excellence and efficiency.
  • Excellent written and verbal skills, organized, exceptional at keeping track of things and follow up.
  • Must use own vehicle for running errands and assigned tasks.
  • Medical, healthcare or insurance experience (i.e. pharmacy, doctor's office, hospital, etc.), a plus.
  • Ability to maintain strict confidentiality regarding sensitive info.

ADMINISTRATIVE ASSISTANT


Essential Functions:


  • Personal and admin support to the President, CEO and COO, accepting assignments without hesitation, being open minded, taking initiative.
  • Handle sensitive personal and business info with absolute discretion, maintaining strict confidentiality and the utmost professionalism.
  • Gatekeeper for all communications via mail, email, phone, etc., as well as compose and prepare personal and corporate documents.
  • Manage and organize personal and company records, data, confidential info.
  • Perform meticulous and precise note taking at any given moment.
  • Maintain personal and business calendars for scheduling meetings, events, task and project deadlines, reminders, travel, etc. Provide additional reminders for appointments for executives.
  • Coordinate personal and business travel, plane tickets, car rentals, hotels, amenities, meals, activities, etc.
  • Coordinate personal and company events, social gatherings. Remind executives of special occasions such as birthdays, anniversaries, etc.
  • Planning and purchasing of personal and business gifts, meals, etc.
  • Run errands, purchase goods and services, and other tasks, using own vehicle for transport.
  • Handle financial responsibilities - paying bills, account / banking info, researching cost effective services, negotiating with service providers.
  • Work diplomatically with personal and business associates, vendors. Act as a liaison to Company executives, department managers & staff.
  • Flexible and willing to put in extra hours for time-sensitive projects. Able to respond to calls, texts and emails from the President, CEO and COO beyond business hours, as needed.
  • Populate presentation templates based on data, graphs and other charts provided.
  • Manage and coordinate info for the Company's social media accounts.
  • Provide office administrative support, such as: greeting visitors / clients, supply inventory, and helping leadership, human resources and admin staff to ensure things in the office are running smoothly.
  • Perform special projects, research assignments, other tasks as given.
  • Utilize independent judgement, prioritize and organize a diversified workload.


Hours:


Part-time, 3 days per week: Monday and 2 other weekdays, 9:00 AM-3:00 PM or 10:00 AM-4:00 PM shift. Temporary role for 5-6 months with potential for longer term, based on company needs (permanent role not guaranteed).


Compensation & Benefits:


$10-$16 per hour. Offer based upon experience, education, and interview process. Applicable mileage reimbursement and cellphone stipend. May be eligible for paid holidays from the start. Eligibility for PTO if working 6 months or longer. May be eligible for other benefits, based on requirements.
