Job description

General Position Summary

This position is responsible for answering and routing phone calls, greeting visitors and general administrative duties. This position assists and supports the project team members and is responsible for general administrative duties, including maintaining accurate and complete records of project documents. The position works under direct supervision and performs routine daily activities. This position must demonstrate strong communication, as well as have good organizational, time management, and client service skills.

Major Duties & Responsibilities

  • Greet visitors in a professional manner "first impression"
  • Answer and route incoming phone calls
  • Perform general administrative duties
  • Maintain conference room schedules and set-up/clean-up for meetings
  • Coordinate office communications, including routing phone calls, correspondence, mail, packages, and deliveries
  • Assist in maintaining effective relationships with internal and external clients
  • Setup and maintain vendor information
  • Update and maintain insurance certificates for subcontractors and vendors
  • Maintain filing systems
  • Enter job cost budgets in accounting software
  • Upload drawings, submittals using ProCore software application
  • Assist in project close-out
  • Monitor accounts payable email account
  • Enter incoming payables into pending AP system
  • Provides support to various departments; operations, preconstruction, and accounting

Education and/or Experience

High School Diploma required
0-2 years of reception or related administrative experience in the construction industry
Sage 300 CRE (Timberline) experience helpful, but not required
Work Environment/Job Conditions

This job is performed in the office and requires frequent sitting (often working on a computer), some walking, standing, bending, and reaching. Due to computer usage, there may be repetitive motions of the hands and wrists. He/she must be able to navigate the office and must comply with all Company safety requirements in the office and on the jobsite.
