The Position

The Receptionist an integral member of the Slate team and is responsible for keeping things running smoothly for all staff within the office. The Receptionist will possess superior organizational skills, excellent interpersonal skills, along with a high degree of initiative and ability to act independently. A can-do attitude is a must, as the Receptionist will always be up for the challenge and able to spot problems and solve them proactively.


The role will report directly to the Office Manager.


Responsibilities

  • Answer all phone calls in a professional manner and re-direct calls as appropriate.
  • Greet all visitors including investors, clients, business associates arriving at the head office.
  • Plan and manage the logistics of all meeting rooms to ensure there are no conflicts. Act as subject matter expert for meeting room technology i.e. ClickShare, Microsoft Teams and Zoom.
  • Mail sorting, scanning and delivery to employees. Coordination and processing of all outgoing mail including couriers and packages.
  • Arrange catering for business meetings and internal social events.
  • Assist with planning and organization of internal and external events.
  • Ensure office space is clean/organized and maintained to a high standard, including boardrooms, kitchen, and copy stations, by conducting multiple daily walk throughs of the floor.
  • Ordering of supplies for kitchen, ensure cabinets are stocked, keeping kitchen tidy including filling and emptying dishwasher daily and cleaning the coffee machines.
  • Pro-actively order office supplies, ensuring cabinets are stocked with paper and supplies.
  • With the support of the Office Manager, coordinate desk or departmental office moves and set up of any new hire's desk.
  • Manage building fobs which includes setting up for new employees.
  • Manage any repairs or maintenance required (kitchen appliances, video conferencing, TVs, printers etc.).
  • Manage expense reimbursement process in an accurate and timely manner.
  • Coordinate travel requirements of employees that do not have executive assistant support and provide travel related assistance outside of business hours when needed.
  • May be required to work longer hours from time to time.
  • Flexibility to support with day-to-day needs as they arise.


Qualifications and Experience

  • Approximately 1-2 years of experience in an Administrative, Reception or Office Management position.
  • Bachelor's degree.


Skill Requirements

  • Strong customer service and communication skills, both written and verbal.
  • Ability to work independently as well as part of a team. Excellent interpersonal skills are essential, including working effectively with management and staff at all levels of the organization.
  • Superior organizational, time management and multi-tasking skills.
  • Strong computer skills including Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • A common-sense approach to solving problems and a high attention to detail.
  • Ability to resolve logistical issues, a demonstrated high degree of integrity, diplomacy, discretion and confidentiality.
