GENERAL STATEMENT OF POSITION:
Under limited supervision, serves as a point person for Human Resources, leads GPTW program, processes payroll, employee training, benefits, manages personnel records, assists with hiring and onboarding, training, and special projects. REPORTS TO: Executive Director ESSENTIAL FUNCTIONS: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Ensures Recruitment Process is fulfilled Posts open positionsAssists supervisors with screening and interviewing to ensure we respond to candidates within 24 hours and schedule an interview Ensures rejection letters are sent timely Communications to Human Resources when roadblocks occur to meeting the above goalsAssist with community staffing - may include departmental staffing and finding coverage for open positions Leads New Employee Orientation (NEO) process, schedules leaders to facilitate their area of NEO, coordinates to ensure successful training is provided to new hires Responsible to follow up with all new hires weekly, ensure training success, and communicate needs to supervisor Prepares and submits community payroll Ensures Paylocity system is up to date (enrolling, terminating, leaves, updating employee information, PRNs, etc. Point person for benefits enrollment at the community, this includes new hires and annual open enrollment.Reviews Missed Punches (Missed Lunches/Breaks) with leadership, responsible to notify Human Resources if challenges.Prepares Final Pay for exiting employees. Leads Community Employee Retention Efforts Daily reviews GPTW Action Plan and action of the day with leadership Leads Employee Appreciation / Wellness Program: Renews posters, provides communication on new seasons of the programLeads employee appreciation events, planning, participation, delegation Facilitates team building activities during All Staff Meeting and provide progress on Action Plans to all employees Encourages employees to participate in culture building eventsResponsible for posting GPTW events on Social Media Encourages employees and monitors employee participation in quarterly Mini Pulse survey and annual survey Participates on a monthly BOD call and provides report on completion of GPTW Action Plans Completes exit interviews for all employees exiting community, maintains documentation, reports to Human Resources Prepares and maintains Personnel Files Coordinates and prepares New Hire Documentation (Offer Letter, background check, drug screening, i9 verification, arranges health screening, and other documents)Ensures New Hire Training is completeEnsures all employee training is current and up to dateEnsures licenses are current and up to date Ensures performance reviews are current and up to date Submits Weekly Status Report to HR, Payroll Benefits Administrator, Executive Director, and VP of Operations, communicating, new hires, exits, worker's comp status updates, leave of absences, status changes, and Agency usage. Ensures that all necessary paperwork is completed and filed appropriately in relation to resignations, terminations and job abandonments Ensures employee status changes are documented and updated (Full time / Part time), departmental position changesAssists with documenting job performance and serves as a witness to corrective action meetings. Communicates Employee Handbook policy updates, facilitating distribution and posting of new policiesAssists Executive Director with employee investigations (serving as a witness, gathering personnel records, time reports, i.e.) Maintains Employee Files in an organized manner, filing documents, and ensuring information is accessible when neededManages Community Worker's Comp ClaimsServes as a point person for Workers Comp process at the community, either completing themselves or coordinating with injured worker's supervisor to ensure that all necessary steps are accomplished. Reporting when injury occursConducting or organizing investigationsFollowing up with Injured Worker and Human Resources on a regular basisUpdates OSHA 300 Log with 7 days of being made aware of reportable injury/illnessSubmits OSHA 300A Summary to HR Generalist annuallyLeads Leave of Absences Process and other Employee Relations ConcernsReports to Human Resources any and all ADA requests; working with HR to document the outcomeNotify Home Office of any Leave of Absence situations, including FMLA, Personal, Bereavement, or other types of Leave. Works with HR to document and assists employee with request and completion of all documents Works with staff and supervisor to facilitate and approve Return to Work of all staff on Leave.Serves as a point person to employees with questions related to Human Resources policies. Ensures compliance with legal notifications and postersPerforms other related essential duties as required.
MINIMUM TRAINING AND EXPERIENCE:
3-5 years of experience in related capacity. Associates degree or combination of educational classes is highly preferred. Experience in Human Resources and or training is highly preferred. Payroll experience is required.
CERTIFICATION AND CLEARANCE REQUIREMENTS:
o Criminal record clearance or criminal record exemption, as required by law
o Health evaluation to ensure ability to perform duties of the position and the absence of any communicable disease, including tuberculosis and CXR clearance.
KNOWLEDGE AND ABILITIES REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS:
Knowledge of:
o Principles of organization and functions of long term care communities;
o General office operations, functions, and procedures;
o Ability to utilize Microsoft Office and accounting software proficiently;
o Principles of management and supervision.
o Basic knowledge of human resources or related field
Physical Requirements:
o Ability to operate a variety of automated office machines including a personal computer, adding machine, telephone, typewriter, copy machine, fax, etc.
o Ability to coordinate eyes, hands and fingers in performing semi-skilled tasks including typing, etc.;
o Ability to exert light physical effort in sedentary to light work involving sitting most of the time, but may involve walking or standing for brief periods of time;
o Ability to exert a moderate amount of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or move objects.
Supervisory Responsibilities:
o Ability to assign, review, plan and coordinate the work of other employees;
o Ability to provide instruction and guidance to staff; and promote staff development.
Judgment and Situational Reasoning Ability:
o Ability to apply common sense understanding to perform semi-repetitive tasks such as typing and computer input;
o Ability to apply principles of rational systems such as budgeting in order to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists;
o Ability to apply principles of influence systems in the training and counseling of personnel;
o Ability to use independent judgment in fairly non-routine situations, such as responding to residents' concerns and issues, and counseling and advising employees.
Language Ability and Interpersonal Communication:
o Ability to comprehend and correctly use a variety of informational documents such as invoices, accounts receivable reports, attendance and input sheets, time cards, termination forms, employee documentation forms, payroll reports, petty cash reconciliation's, and the budget;
o Ability to prepare resident census, financial reports and OSHA reports and other reports for regulatory agencies, employee documentation, trust ledgers, receipts, accounts receivable reports, resident monthly billing statements and creation of new office and management forms utilizing all rules of punctuation, grammar, diction and business writing style;
o Ability to prepare reports, meeting minutes, correspondence, memoranda, forms and using prescribed format and conforming to all rules of punctuation, grammar, diction and style;
o Ability to comprehend a variety of reference books and manuals including Administrative, Personnel, Employee Handbook, computer manuals, resident files a chart of accounts and rate sheets;
o Ability to utilize and interpret technical terminology for communication with professionals in the legal, counseling personnel, marketing and accounting fields;
o Ability to communicate effectively with corporate office administrators, supervisor, prospective residents, and coworkers verbally and in writing.
Environmental Adaptability:
Requires the ability to work in an office environment.
