The major function of this position is:
Provide Human Resources support for leave administration and recruiting. Oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), COVID, WC, state and local leave laws, and short-term or long-term disability plans. Provide recruiting and hiring assistance for non-exempt positions.
The principle responsibilities and duties of this position are:
Benefit & Leave Administration
- Maintain working knowledge (via practice, reading, and/or coursework/ seminars) of changing regulatory environment affecting employment law and assist in ensuring policies, procedures and reporting are in compliance. Be the subject matter expert on all Company leave of absence programs, policies and procedures, including leave benefits and matters regarding eligibility, coverage and provisions.
- Preserves confidentiality of employee medical documentation and files.
- Responsible for the administration of employee benefits and leave administration programs such as retirement plans; medical, dental, vision plans; life insurance plans; short-term or long-term leave and/or disability programs; leaves of absence, etc.
- Provide timely and required leave of absence paperwork to employees who are requesting a leave of absence and manage leave files for the duration of the leave through the return-to-work process.
- Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.
- Analyze leave claims or requests, determines employee eligibility, liaises with managers and HR Business Partner in the development of alternate work arrangements or coordination of coverage, and manages employee return to work or separation.
- Administers the transitional return to work process for employees returning from extended FMLA, work injury or other leaves. Evaluates work restrictions for job assignments and tracks light duty workdays. Administers the American with Disabilities Act (ADA) evaluation and interactive accommodation process in accordance with the company's reasonable accommodation guidelines. Facilitates leave and accommodation requests under the ADA by evaluating requests for eligibility, drafting communications, assesses responses, and making recommendations for accommodations. Maintains complete and accurate records of the interactive process. Track accommodation requests and decisions.
- Collaborate with Business Partners and Senior Management on complex leave of absence questions or escalated issues.
- Serves as a liaison between employees and vendors to ensure quick, equitable, courteous resolution to issues/concerns/questions regarding benefits programs. Providing excellent customer service to employee inquiries.
- Perform benefit administration, including assisting employees with enrolling, canceling or changes in medical, dental, vision and other insurance plans; actively participate in annual open enrollment process.
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
- Performs the calculation of monthly premium statements for all group insurance policies and maintains statistical data relative to premiums, claims and costs.
Payroll Administration
- Perform all activities necessary to process payroll, including timely and accurate payroll input and thorough review of the output, auditing time labor management entries for correct pay calculations.
- Reviews time information entered into payroll software as well as previews payroll information prior to issuing, minimizing manual checks and errors. Assisting managers and employees with time entry and payroll related questions.
- Ensures compliance with federal, state, and local payroll, wage and hour laws and best practices.
Other Duties
- Assist with the delivery of employee orientations and on-boarding programs.
- Assist with non-exempt recruiting to include posting of positions on job boards, review of resumes/applications, scheduling and coordination of interviews, conducting interviews, evaluate applicants for overall job fit.
- Conduct exit interviews, documentation, and reporting procedures.
