Job Role Summary
The Talent Acquisition Associate will be responsible for interacting closely with hiring managers, talent acquisition consultants, and candidates to deliver an exceptional and efficient, interviewing/pre and post hiring experience. The Talent Acquisition Associate provides day to day assistance to the division in coordinating and administering transaction recruitment related activities for the Human Resources Department.
Essential Functions and Responsibilities
- Participates in the recruitment process for entry level, talent pipeline positions, Interns and Externs within Eskenazi Health, i.e., Food and Nutrition, Environmental Services, and Pharmacy Technicians, etc.
- Maintains the applicant tracking system and career portal by opening and closing jobs, updating job information, reassigning positions, assisting HR team and Business Partners with position management and allocation, maintains the process of; creating new position numbers in SAP, and cost center creation, job description updates and Hiring Manager access in Position Manager
- Conducts daily screening assessment, routing and external sourcing activity of all talent pipeline positions; assists with candidate sourcing for key roles and recruiting entry level talent and coordinates our social media strategy in conjunction with Public Affairs and manages posting positions to external resources such as job boards, social networking sites, etc.
- Serves as a liaison to the Talent Acquisition Consultant and Talent Acquisition-RN as it relates to candidate, hiring manager and department inquiries
- Trouble shoots and resolves all applicant and system issues related to the HR ATS and HRIS
- Responsible for coordinating the offer of employment and the scheduling of employment physicals with the Occupational Health Clinic
- Responsible for maintaining contract workforce, including but not limited to; working with vendor agency, securing proper badging and access levels and document tracking
- Responsible for managing and scheduling the bilingual assessment, Bridging the Gap and departmental testing and scoring
- Maintains listing of current licenses/certifications as required by regulatory bodies, validates license and/or degree of new employees, and maintains monthly compliance as necessary
- Completes background checks, i.e., criminal history, OIG, GSA and references as appropriate, including volunteers and generate internal reports and assist with recruiting metrics.
- Registers, prepares, and coordinates the Talent Acquisition team for career events and will attend other career and networking events in conjunction with team members as necessary.
- Plans and coordinates all process documentation related to Talent Acquisition processes and standard operating procedures including but not limited to; documenting process changes, such as process maps, team structure charts, detailed procedures, etc.
- Maintains working knowledge of state and federal legislation/regulations including labor laws, etc.
- Participates in departmental project work focused on delivering efficiencies and innovations to drive the Talent Acquisition operation function forward
Job Requirements
Associate's degree in Social Science, Humanities, Business or related degree, plus one year of relevant work of experience; OR Three (3) years of progressively responsible experience in Recruiting, preferably in healthcare, may be accepted in lieu of education. Bachelor's degree in a related field is preferred
- Working knowledge of healthcare services and understanding of employment laws
- Bilingual in English/Spanish, preferred
