Key Areas of Responsibility (Answerable for the following end results)
1. Professionally administer all incoming calls and ensure phone calls are redirected accordingly. Greet all guests in a professional, friendly, hospitable manner relaying company protocol. Open and close visitor area (locking doors, closing blinds, turn off lights).
2. Maintain accurate training records, training calendars and files. Schedule training as required.
3. Type meeting minutes, memos, correspondence, reports, K.O.I. information and other documents deemed necessary.
4. Responsible for all incoming / outgoing mail. Date stamped and distributed accordingly.
5. Perform administrative / clerical projects as assigned by management.
6. Maintain accurate filing of all posted materials from HR boards.
7. Set up meetings - rooms, food, and appropriate equipment as needed.
8. Make travel arrangements.
9. Maintain directory of phone numbers
10. Interview hourly production personnel for open positions
11. Update attendance records and record information in conference room
12. Ensure proper safety sound tests are conducted per procedure.
13. Ensure external complaints are properly recorded and communicated to Management.
14. Update Supervisor communication board with new postings, and remove expired postings, as required.
15. Document all activities as required
16. Adhere to all company guidelines for Emergency Evacuation to ensure employee safety.
17. Any additional responsibility deemed necessary by management.
Limits of Authority
18. Advise Department Manager of those situations that may pose a significant risk to the program, product assurance, facilities, and employee safety or customer satisfaction results.
19. Initiate actions to prevent the occurrence of any nonconformance relating to product, process & systems.
20. Identify and record any problems relating to the product, process or system
21. Initiate, recommend or provide solutions through appropriate channels and verify implementation.
22. Control further processing and delivery of nonconforming product until the deficiency is corrected.
Basic Education, Experience and Training Requirements
23. High School Diploma or equivalent combination of education and experience.
24. Minimum 2 years Receptionist /Administrative Assistance experience.
25. Excellent telephone etiquette.
26. Operate multi-line phone system
27. Excellent verbal and written communication skills
28. Able to work with minimal supervision
29. Professional appearance, business casual.
30. Able to interact with employees at various levels of the organization.
31. Computer proficiency utilizing spreadsheet and work-processing software, specifically Microsoft Office (i.e. Microsoft Work, Excel, and Powerpoint).
32. Able to multi- task.
33. Able to maintain confidential information.
Health, Safety and Physical Demand Requirements
34. Normal amount of sitting and standing, average mobility to move around an office and plant environment, able to conduct normal amount of work on a computer.
