Job description

The Department of Academic Affairs is seeking a JH HEAT Corps Volunteer/SOURCE Coordinator (Academic Program Coordinator).

Specific Duties & Responsibilities:

Volunteer Recruitment and Selection

  • Develop and implement the volunteer recruitment process and timeline through two recruitment cycles (Fall and Spring), including marketing efforts and information sessions.
  • Organize volunteer applications and provide review rubric/process for HEAT Corps leadership team reviewers
  • Notify all applicants of the status of their applications
  • Provide detailed instructions for selected HEAT Corps volunteers to join the group and sign up for trainings


Volunteer Training
  • Coordinate with JH HEAT Corps Team to offer live Zoom JH HEAT Corps training sessions
  • Monitor and verify the completion of volunteer training requirements of all volunteers, including Child Safety training, tracking participation in live training sessions, reviewing make-up assignments for volunteers who were unable to attend live sessions, checking volunteer responses for virtual training requirements
  • Respond to frequent questions and concerns regarding volunteer training events


Volunteer Coordination and Communication
  • Communicate with volunteers to share updates, news, training requirements, and session offerings
  • Respond to frequent volunteer questions regarding content, programmatic updates, schedule changes, technology issues, and general troubleshooting
  • Provide frequent volunteer check-ins to determine volunteer availability and capacity for teaching upcoming sessions


Volunteer Verification
  • Train volunteers in the process for submitting program impacts through Hopkins Engage
  • Review and verify all volunteers' impacts after teaching each session
  • Provide programmatic data for relevant JH HEAT Corps reports and program evaluation measures


SOURCE Volunteer Program Support
  • Serve as a member of the team at SOURCE and support volunteer activities of the center


Minimum Qualifications (Mandatory):
  • High School Diploma/GED.
  • 3 years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU Equivalency Formula.


JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
