The HR Manager, Benefits, Payroll, and HRIS Administration ("HR Manager") partners with the Operations Team to implement a total comp strategy in line with short-term and long-term priorities. The HR Manager owns benefits administration, including all vendor relationships and all employee training/ communication related to benefits. The HR Manager partners with the Ops Team to manage the bi-weekly payroll process, annual compliance audits, regular reporting (to external parties). The HR Manager is ultimately responsible for ensuring that payroll, benefit audits, and reporting are completed accurately, on time, and in line with federal, state, and local law.

How You Will Spend Your Time:
Managing strategy, implementation, and ongoing administration for full benefits package, including leaves of absence and time off policies
Serve as primary point of contact for all benefit and payroll vendors and third-party-administrators
Serve as primary source of information, as it pertains to benefits and payroll, for all BL employees
Lead Open Enrollment
Create and execute on plans to market all benefits in order to maximize usage and increase knowledge
Coordinate with HR Manager, Talent Acquisition to oversee onboarding process for all new hires
Coordinate with National Team members and Managers to oversee offboarding process
Fulfill required audits, reporting, and labor law compliance activities

Benefits Administration - 25%
Manage strategy, implementation, and ongoing administration for full suite of benefits offered to Bottom Line staff; this includes, but is not limited to:Communicate changes with vendors and participants (employees)
Update and approve changes within Web Benefits and Web Pay
Manage leaves of absence
Manage use of PTO, Sick Time, and other time off
Serve as member of Retirement Plan Committee
Serve as primary point of contact for benefit broker and benefit vendor relationships
Ensure timely (within 2 business days) response to emails and phone calls
Create and implement annual plans to market all benefits to all eligible employees in order to maximize usage and increase knowledge
Resolve benefit-related problems to ensure effective use of benefit plans and a positive employee experience; Act as liaison between employees and benefit providers, when needed
Conduct periodic review of benefits package - including leaves and time off - and make recommendations for strategic enhancements to COO and Head of HR
Manage the annual Open Enrollment process, including communications to employees
Communicate with terminating employees to ensure they understand options, including COBRA
Oversee third-party administration of COBRA benefits
Reconcile benefits statements and conduct monthly / quarterly benefit enrollment audits, in collaboration with Finance Team
Maintain accurate plan documents for all benefits and make them easily accessible to all stakeholder groups
HRIS Administration - 25%
Process all employee changes in a timely and accurate manner
Elevate any issues to the head of HR
Ensure prompt and thorough review of end-of-year payroll paperwork (including W2s and ACA reporting)
Support people managers in accurate time-keeping records and approvals; troubleshoot with managers and Paylocity as needed
Provide technical troubleshooting for all Paylocity platforms
Payroll - 10%
Manage bi-weekly payroll process, in collaboration with Finance, and with support from head of HR or COO as needed
Support data collection and storage for all compensation changes
With Ops Team, design and implement a state tax policy in line with legal guidelines and best practices in order to support the organization's hybrid work model
Setup / register the organization with relevant tax agencies
Ensure Paylocity has accurate and up-to-date information in order to file taxes
Support head of HR and COO in compensation analyses
Employee Communications & Education - 10%
Provide quality, timely customer service to all Regional and National staff
Respond to all employee emails and phone calls within 2 business days
Create and Lead benefits and HRIS trainings for all new hires and newly eligible employees
Co-lead Summer Onboarding annually, including but not limited to:
own and lead several specific training sessions
coordinate materials, including technology, training supplies, and print and electronic materials
communicating with hiring managers, facilitators, HR team, and participants
Off-Boarding - 10%
Facilitate the off-boarding process
Support terminating employee's manager
Ensure timely turnaround of each step of the process
Coordinate between National departments
Review process for off-boarding on a regular basis, make recommendations for improvements, and implement changes to the process
Support Exit Interview process, including data analysis thereof
Data & Compliance - 10%
Demonstrate ongoing understanding of Human Resources Policies/Employment law (federal, state, and local), and apply appropriately
Serve as one of the organization's HIPPA compliance officers
Maintain accurate, thorough, secure personnel files
Maintain and update job descriptions, in collaboration with the head of HR
Manage required benefit notices, employment law posters, and other required employee communication, with support from benefit vendors
Complete required audits and reporting that pertain to employment data, including but not limited to: EEO Report, 403b 5500 Form Audit, medical care coverage reporting, Workers Compensation Audit
Secondary (5%)
Respond to data requests timely and accurately
Manage additional projects that advance the HR department's strategic goals
Represent the Bottom Line brand in a positive light, and take actions to increase brand awareness throughout the community
