REQUIRED: high school diploma or its equivalent; three years' administrative/office/related experience; self-motivation; excellent organizational, multitasking, telephone, and oral and written communication skills; meticulous attention to detail and accuracy; comfort with a high work volume and managing different types of patent records/documents and ability to differentiate legal documents so as to handle appropriately and meet daily deadlines; and proficiency with Microsoft Office. Must be able to assess information, anticipate issues, and work independently with limited guidance; manage daily responsibilities in a prompt and timely fashion; quickly comprehend complex materials and processes; provide clear and concise instructions; and manage and shift priorities in a frequently chaotic environment. INTELLECTUAL PROPERTY ASSISTANT, Office of Strategic Alliances and Technology Transfer (OSATT)-Technology Licensing Office (TLO)-Patent Administration Group, to perform administrative tasks for the Patent Administration Group. Responsibilities include daily distribution of emails received from law firms/attorneys via the group's centralized reporting system (Patfiles); providing instructions to outside counsel after receiving information regarding first patent application filings, prior art searching, and invention disclosure reviews from licensing officers; receiving and processing documents for execution by a representative authority of MIT; receiving and processing IP work estimates; maintaining accurate spreadsheets of IP work estimates out for signature and following up on outstanding documents; receiving and responding to requests for entity size confirmation requests from law firms; performing the monthly entity size audit of active cases; acting as a liaison between the TLO and inventors when patent issues arise; providing updated inventor contact information upon request; scheduling meetings; assisting with training for temporary employees as necessary; database maintenance; and other duties/projects as requested.
