Talent & Culture (T&C) partners strategically with the Cambridge Systematics community to offer a broad range of programs and services. T&C provides leadership and guidance in the development, implementation and administration of talent acquisition strategies, employee performance and development initiatives, and our total rewards package. T&C is dedicated to attracting, developing and retaining a diverse group of transportation industry leaders and corporate service professionals, by proactively identifying and responding to the ever changing needs of our customers.

We are looking for a HR Coordinator who will be responsible for supporting the T&C function in creating an environment where all staff can thrive. In this role, you will undertake a variety of human resources operational and administrative duties and act as the first point of contact for designated HR-related operational and administrative inquiries. This role will suit someone with generalist HR knowledge as well as strong administration skills with excellent attention to detail. The HR Coordinator will ensure the smooth running of HR systems, administration and operations.

What You'll Do

Recruitment

  • Collaborate with the Talent & Culture Manager to identify current staffing needs
  • Create job postings, source candidates, screen resumes, conduct phone screens, schedule interviews, check candidate references
  • Partner with staffing agencies as needed and coordinate the recruitment and hiring process
  • Manage and maintain the job description library - update and add job descriptions as needed

Benefits Administration

  • Responsible for day-to-day benefits administration, including oversight of the benefits administration system and ongoing funding of HSA, FSA and 401(k) accounts
  • First point of contact for employee benefits-related inquiries
  • Audit monthly benefit invoices to ensure data accuracy, working with benefit vendors to resolve discrepancies
  • Assist with year-end compliance activities, including ACA reporting, non-discrimination testing, 401(k) audit, and distribution of legal notices

HRIS/Payroll

  • Process employment changes including work status, salary, relocation, and benefit enrollment
  • Work with the payroll team to ensure critical HR information is communicated including new hires, terminations and employee leaves
  • Ensure integrity and accuracy of data, conducting audits when appropriate
  • Generate and distribute reports from the HRIS as required

Onboarding/Offboarding

  • Coordinate new hire onboarding activities including pre-employment background checks, offer letter preparation, scheduling, preparing employment paperwork and system setup
  • Facilitate offboarding process by scheduling exit interviews, compiling exit packets, and offboarding from relevant systems and programs as required

Administrative Support

  • Ensure compliance with company policies/procedures and existing employment laws and regulations
  • Assist T&C with projects and initiatives as directed by the Talent & Culture Managers and Chief Talent Officer
  • Maintain T&C SharePoint page by ensuring data is up-to-date
  • Complete all employment verification requests
  • Manage invoicing for the T&C team
  • Maintain employee personnel files and other HR-related files

Knowledge, Skills, Experience

  • Minimum 1 year of experience as a Human Resources Administrator, Coordinator or similar role
  • Intermediate level capability with MS Office including MS Excel
  • Experience using a Human Resources Information System (HRIS); ADP is a plus
  • Knowledge of human resources processes and practices
  • Ability to work in a fast-paced environment - must be highly organized with excellent time management skills to multi-task and provide support on a range of projects and initiatives
  • Being an enthusiastic team player with a strong drive to create a positive work environment
  • Ability to communicate effectively with people at all levels of the organization
  • Exceptional customer service and problem solving skills
  • Demonstrated discretion and maturity to manage confidential data and information
  • Self-starter and ability to work independently

Preferred Qualifications

  • College degree
