Summary

Under the direct supervision of the Senior Human Resources Generalist and the broad supervision of the Associate Vice President of Human Resources, this position works closely with the Assistant Director of Financial Aid and collaborates with the Payroll and Accounting Managers and is responsible for oversight of the employment process for approximately 400 student workers per year. Student employment provides opportunities for students to build meaningful workplace skills, introduces students to careers within higher education and academic disciplines, and furthers the mission and strategic objectives of the University.

Essential Functions

  • Responsible for the year-round employment of student workers including Federal Work-Study (FSW), institutional, and summer employment; effectively manage the employment lifecycle of student-workers by developing and overseeing best practices at all stages of the employment process from job posting, recruitment and onboarding to development and off-boarding.
  • Develop resources and conduct supervisory training for staff and faculty that hire student workers to include guidance on FWS employment and applicable federal and state employment regulations. Work with student supervisors to ensure they understand their responsibilities for the timely reporting of accurate records of time worked by students.
  • In collaboration with the Senior Human Resources Generalist, establish and manage recognition and morale programs for student workers.
  • Actively cultivate and coordinate off campus FWS community service position opportunities.
  • Maintain student records in HRIS/payroll system; work closely with the Office of Financial Aid for student FWS allocation assignments and the transmission of student data between Financial Aid and Human Resources.
  • Monitor student hours and notify students and supervisors of limits and expenditures and make monthly reports to the Assistant Director of Financial Aid.
  • Maintain compliance with FWS employment requirements in collaboration with Financial Aid.
  • Research and resolve issues regarding student employment in accordance with federal, state and institutional regulations and policies; serve as an advocate for student workers and act as a liaison between student workers and their supervisors or departments.
  • Professionally and effectively interact with individuals from diverse backgrounds; demonstrate a genuine and strong commitment to Regis Colleges mission and goals.
  • Responsible for the accurate and timely processing of Form I-9 for student workers as well as faculty and staff employees.
  • Other duties as assigned.


Supervisory Responsibility
  • May supervise work-study students in accordance with Regis Colleges policies and applicable laws. Responsibilities include training, developing, and scheduling.

Requirements
  • A bachelor's degree with a minimum of two years work experience in student employment or human resources.

  • Effective communication and interpersonal skills with a wide range of constituents as well as excellent judgment and initiative.

  • Requires tact, diplomacy and professionalism; must exercise discretion in dealing with confidential matters and correspondence.


Working Conditions/Physical Demands
  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
  • May require bending and carrying of files, documents, records, and/or supplies.
