Job description

OFFICE MANAGER

You will be responsible for the daily financial activities and smooth office operations of a family owned and operated recycling company in a small office environment. The office manager enters accounting data into the system and performs routine bookkeeping duties under the direction of management (the owners), and oversees office operations, including managing computer systems and equipment, human resource record functions. You will work to develop and implement continuous improvement processes for office processes to include quality control, recordkeeping, organization, and efficiencies.

Essential Duties and Responsibilities

· Prepare and enter invoices, cash receipts, and other activity into the accounting system.

· Perform reconciliation and analysis of specific general ledger accounts on a pre-established periodic basis and as assigned.

· Interact with vendors, customers and employees as necessary.

· Assist with cash management.

· Receptionist

· Process payroll and maintain employee benefits records.

· Prepare audit supporting documentation as assigned.

· Maintain communications and office systems (computer, internet, email, phone, security, printers, copiers, etc.)

· Coordinate personnel activities and process Human Resource paper work.

· Oversee and manage the maintenance and communication of records required by laws or other government bodies.

· Manage logistics inbound & outbound.

· Other duties as assigned.

Qualifications

· Minimum of three years related experience.

· Accounting software experience, Passport preferred.

· Strong working knowledge of Microsoft Office, Excel and Word.

· Ability to identify the need for, establish, and maintain administrative systems.

· Demonstrated record of accuracy and efficiency.

· Dependability

· Excellent communication skills.

· Ability to work independently with minimal supervision.

· Ability to multi task and accept interruption.

· Demonstrated record of managing priorities and deadlines.

· Flexibility and sense of humor.

Specific Responsibilities & Helpful skills include:

· Preparation of all invoices (billing), deposits, and payables (checks)

· Posting, data entry of all invoices, deposits and payables into automated ledgers

· Month end balancing of all ledgers, reconciliation of monthly bank statements

· Maintain proper organization and inventory of office supplies/room

· Assist owners in the capacity of an administrative assistant

· Maintain and understand thoroughly the operation & maintenance of the copy /fax machines and printers

· Other misc. clerical/office administration duties

· Pragmatic, extremely organized, methodical, thorough, detail oriented, discrete

· Ability to work independently, meet deadlines, and work under pressure

WORKING CONDITIONS

Working conditions are normal for a small office environment. Office environment is open with all administrative personnel, including management, sharing one big open office. Professionalism a must, but in a relaxed atmosphere.
