This position has a possibility for remote work. On site location is at DHMC.

Provides coordination of administrative functions for the Center for Molecular Epidemiology (NIGMS funded Center for Biomedical Research Excellence (COBRE) P20 program grant). The position is responsible for important functions integral to maintaining an efficient infrastructure. Position requires a high degree of discretion and judgment and will work closely with the Senior Research Administrator and COBRE PIs.

* Five to seven years relevant experience including management of complex projects.
* Excellent verbal and written communication and interpersonal skills.
* Ability to work effectively, independently, and as a member of a team.
* Willingness and ability to exercise judgment and initiative and to interact with a diverse set of faculty, personnel, and outside agencies in a professional manner.
* Flexibility and openness to change.
* Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.

* Ability to maintain and foster confidentiality.
* Proficiency in database management, spreadsheets, and other computer software.
* Willingness and ability to learn additional computer applications.

Preferred Qualifications

* Strong leadership, planning and organizational skills.
* Meticulous attention to detail; organized, efficient and able to function while completing numerous, simultaneous, high-priority tasks.
* Ability to interact confidently with scientific community, leadership and others. Ability to oversee daily Program activities and manages issues or triage if necessary. Knowledge of human resources management.
* Knowledge of grant submission, approval and funding process.
* Web development and editorial skills or willingness to develop for preparation of reports, websites and other communications.
* Master's Degree.

Key Accountabilities

Description

Grants and Research Management:

* Works with the Senior Research Administrator to establish, maintains, and communicates timelines to coordinate complex Center grant applications, renewals, progress reports, and preparation and submission of other critical documents to ensure deadlines are met to ensure continued funding of the Centers. Drafts components of grant proposals, reports, and other supporting application and reporting material, edits and reviews applications to ensure language, overall consistencies and compliance with required instructions and guidelines for submission. Coordinates career development opportunities including workshops, seminars, grant proposals, journal submissions.
* Creates graphics, tables and images pertaining to grant applications and submissions. Responsible for EndNote database management, journal compliance, document tracking, and archiving. Provides oversight to ensure published manuscripts are in compliance with National Center for Biotechnology Information regulations and Public Access laws. Communicates and coordinates career development opportunities including workshops, seminars, grant proposals, and journal submissions to Center members. Monitors, tracks, and coordinates project progress to ensure timely completion of research milestones as outlined in Center project plans. Creates material and maintains Center website, Center highlights, and other outreach and publicity materials. Works directly with Director of Pilot Projects to send out calls for pilots, collate applications, manages review process, determines timeline for application periods, and integrates members into Center.

Media and Web:

* Works with Geisel and other College/DHMC media offices to ensure regular press releases promoting scientific advancement, individual achievement and activities of the Centers. Works proactively with local, regional, national and international media to ensure promotion of Centers research. Creates materials and advises on opportunities for educating members of the media and legislators about the Center(s). Writes and coordinates web design, content, and is responsible for creating updates, new events, special achievements etc. Creates effective tools including Centers media kit, video presentations, presentation exhibits, photo archive, a regional/national media list and the like.

Center Recruitment & Personnel Administration:

* Manages a wide-scope of concurrent projects, working with all levels of staff. Works cooperatively with external collaborators to achieve strong communication and management of grant development and publication activities. Organizes and coordinates events, including research meetings and advisory board meetings. Effectively communicates with prospective candidates and other parties while maintaining the appropriate levels of confidentiality. Ensures customer service goals are met in all facets of contact with external candidates, establishing, fostering, and maintaining productive recruiting relationships. Must be able to participate in recruitment related events and activities and work flexible hours and schedules. Works with departmental administration and other Dartmouth departments (IDE, Alumni Affairs/Development, Communications, etc.) on recruitment efforts of the Centers. As a member of the administrative team, helps to track recruitment forms; sets up and maintains search committee records. Ensures conformance to current Affirmative Action and IDE policies and procedures, and supports Dartmouth administration's efforts to proactively incorporate the needs of diverse populations and diversity in the Dartmouth Community.
