We are a national commercial architectural firm seeking an amazing HR Assistant to help us with our growth! You will provide assistance with and facilitates the human resources processes for the company. Under direct supervision, you will provide administrative support to the human resource function as needed, including record-keeping, file maintenance, assisting with both clerical and receptionist duties and HRIS entry.

Job Details

What You Will Be Doing:
  • Create employee personnel and confidential files for all new hires
  • Maintains employee files for both active and separated employees
  • Responsible for filing employee records while ensuring accuracy and update record keeping at all times
  • Assists with compiling data from employee records and report preparation as needed
  • Assist with the coordination and execution of company functions as needed
  • Process verification of employment for current and previous employees
  • Responds to reference checks and verifications of employment status
  • Handles employee information in HRIS, (i.e. resetting of passwords)
  • Handles all new hire checklists information in HRIS
  • Participates in developing department goals, objectives, and systems
  • Assists with the tracking of departmental and company measurements that support the accomplishment of the company's strategic goals
  • Front office receptionist duties as needed
  • Monitor HR email and ensure a 24 hour response time.
  • Act as a backup to the HQ Office Manager, assist with mail distribution and small package delivery to various departments
  • Sorts HR mail and faxes; distributes to corresponding HR personnel
  • Other duties as assigned and requested by management

What You Need To Apply:
  • 1-2 years of successful Human Resources or relevant experience in a fast paced or high-volume environment is required
  • Previous front office receptionist experience desired
  • Proficient in Excel and Word
  • Proficient in HRIS
  • Excellent customer service and organizational skills
  • Strong work ethic, integrity and personal accountability
  • Outstanding interpersonal, verbal and written communication
  • Exceptional time management; proactive with a strong sense of urgency
  • Able to exhibit a high level of confidentiality
  • Must be able to identify and resolve problems in a timely manner
  • Must be able to gather and analyze information skillfully
  • High school diploma, GED, or equivalent
