Title: Temporary Human Resources Assistant

(Anticipated dates January 2022 - July 2022. OLS, at its discretion, may offer to extend the through date.)

Rate: $24.00 per hour (up to 35 hours/week)

The Office of Legislative Services (OLS) is an agency of the New Jersey Legislature established by law to provide professional, nonpartisan staff support services to the Legislature including its officers, members, committees and commissions. OLS operates under the authority of the

Legislative Services Commission, a 16-member bipartisan panel with equal representation from each House of the Legislature.

The goal of OLS is to facilitate the work of the New Jersey Legislature and to enable and promote public understanding of the legislative process. As nonpartisan employees of the Legislature, OLS staff are prohibited from engaging in political activity or taking a public position with regard to any matter before the Legislature.

Description: Position is responsible for supporting all human resources processes and functions.

Duties include: planning and coordinating office responsibilities with minimal supervision; answering inquiries; serving as a liaison to the public, legislators, partisan staff, OLS directors, managers, and internal staff. Oversees and makes recommendations to improve the internal filing systems used to retain confidential personnel information and incoming and outgoing correspondence. Assists with OLS recruitment process by posting vacancies, researching, recommending and coordinating career fair events, completing applicant data entry, scheduling interviews, administering applicant testing, conducting reference checks, and drafting and sending recruitment related correspondence.

Duties also include providing administrative support to the Human Resources Director and staff, including preparing and proofing confidential documents from templates and drafts using various computer applications such as database management, Microsoft Office, PMIS, and Business

Objects.

Requirements:

Education:

  • Associate degree in Human Resources, Business, Psychology, or related field.

Preferred Education:

  • Microsoft Office Specialist Certification.

Experience:

  • Two years of administrative experience in a human resources role, including two years of experience using Microsoft Office.

Preferred Experience:

  • Four years of administrative experience in a human resources role, including four years of experience using Microsoft Office.
  • Technical experience and knowledge of HRIS applications and document management software.

Substitution:

  • Applicants who do not have an associate degree may substitute additional experience, on a year-for-year basis, and must have a minimum of 4 years of experience.

Residency Law: Pursuant to the "New Jersey First Act", all persons newly hired by the Office of

Legislative Services, unless exempted by the law, shall have one year from the date of employment to establish, and then maintain, principal residence in the State of New Jersey. New Jersey state employees hired prior to September 1, 2011 who transfer from another State of New Jersey appointing authority without a break in service greater than seven days but who reside outside the

State of New Jersey are not required to change their principal residence to New Jersey in order to comply with the Act.
