Job Description:
We are looking for an Executive Assistant to work with the management team and assist with Business Operations, HR, Recruiting and Office Management in our office located in Rutherford, NJ.
Job Responsibilities:
Business operations
Bookkeeping data entry: Invoices, Purchase Orders, quotes, proformas etc.
Work with account managers/Project managers on collection and tracking of Timesheets, Expenses, billable hours, recurring bills etc.
Vendor relations and purchasing:
Office supplies
Computer equipment and software
Partners and resellers
Assist with gathering data and building operational reports.
Presentation support. Working with team members to build power point slides.
HR assistant
Onboarding new employees
Track employee attendance and PTO
Assist with recruiting:
Manage: Job Postings, Social Media searches, Interview Scheduling, Recruiters
Recruiting research and initial reach out / scheduling
Track recruiting budget
Office Management
Coordinating as needed schedules, meetings, and appointments
Arranging travel and booking accommodation
Providing general administrative support
Managing CEO/CO-CEO's Calendar
Skills:
Strong communication and presentation skills, both written and verbal
Organizational skills and high levels of flexibility and adaptability
Ability to multitask and prioritize
Ability to work autonomously
Good business and commercial acumen
The ability to build relationships at all levels across the business and with external contacts
Experience using the full Microsoft Office suite
Experience with accounting systems (Quick Books, Netsuite or others)
