Job description

Job Requirements:
Duties
- Provide administrative support to executive including, but not limited to, daily correspondence, meeting
arrangements, travel and hotel arrangements, contact/calendar updates and general office tasks.
- Assist Operations Group with the preparation of owner contract documents and supporting documents; i.e.
owner contracts, owner change orders, certificates of insurance, legal documents, builders risk, bonds, etc.
This includes ensuring contract related documents are fully executed in a timely manner. Maintain thorough and updated file system related to Owner contract documents.
- Provide administrative support to the Chief Executive Officer and Chairman in absence of the Executive Assistant.
- Provide project/preconstruction assistant support to operations and preconstruction in absence of assigned admin assistant(s) and during peak workload; i.e. preparation and distribution of subcontractor documents and preconstruction documents.
- Notary Public, or willing to become a Notary Public within a designated time after beginning the role.
- Assist Administrative Services Manager with office management related responsibilities and special projects.

- Perform necessary research to determine the correct path and complete assignments with minimal
guidance.
- Have a high level of proficiency with AIA Software, CMiC, Word, and Excel and willing to learn and use new computer programs.
- Have a command of the English language and be competent in making appropriate and correct grammatical and editing changes in documents prepared by the project team.
- Pay close attention to details so the job is done right the first time.
- Feel free to share ideas for improving procedures, and take part in the Quality Improvement Process.
- Have an interest in the construction process and knowledge of construction technology.
