Job description

Evolution Wellness is a private, outpatient mental health practice located in Wilmington, North Carolina. We specialize in anxiety, trauma, depression, individuals, couple's/family, and teen therapy.

This position ensures that all clients at Evolution Wellness, both new and established are satisfied with their services and all of their treatment needs are met. Our office administrators work with clients from the first referral on through until after their first session with a clinician.

This is a perfect opportunity for an individual that is motivated and driven for success. The ideal candidate would have a perfect balance of a warm and friendly personality and attention to detail and organizational skills. This position has an hourly part-time position. The right candidate would have analytical abilities and be able to look at the "big picture", seeing opportunities for growth and challenging themselves for excellence.

The position includes a blend of computer-based tasks such as billing, verifying insurance, etc. as well as customer service via the phone. You work with a team of therapists and other office administrators in a collaborative, high-class, professional environment.

DUTIES & RESPONSIBILITIES

  • Take all incoming referrals for new clients and schedule them
  • Follow up with all referral sources regarding the status of appointments
  • Coordinate care with primary care doctors upon onset of treatment
  • Enter all new client information into our electronic health records systems accurately
  • Use systems to verify active insurance and related information
  • Communicate with clients in regards to what they should expect, what items to bring to their first appointment, etc.
  • Make appropriate selections/matches from client to clinician based on areas of specialization and expertise.
  • Client satisfaction calls after their first appointment
  • Reach out to referrals who did not engage and attempt to engage them.
  • Build relationships with community partners to nurture a professional relationship
  • Reach out to community partners to ensure their satisfaction of Evolution Wellness services
  • Utilize referral sources when clinicians are accepting new client; make phone calls to referral coordinators informing them of these openings
  • Ensure the counseling office is equipped with supplies needed to operate from day to day including some light cleaning responsibilities and other facility related tasks including changing air filters, etc.

SCHEDULE:

- Monday-Friday 8am-5pm

-Part Time positions available and shifts will remain in the Monday-Friday 8am-5pm time frame

MINIMUM REQUIREMENTS:

  • High School diploma or equivalent is required.
  • 1-3 years of Customer Service experience required.
  • Warm and inviting personality, excellent with phone communication
  • Detail-oriented and organized in regards to following up with clients who are unreachable, etc.
  • Driven by goals, able to work towards meeting goals without getting frustrated or giving up
  • Must have deductive reasoning skills and able to interpret charts and graphs-each client will be placed with a clinician based on that clinician's area of expertise
  • Must be excellent at community outreach and building relationships in the community as well as with new organizations.

Pay: $11.00 - $18.00 per hour
