The role

The administrative assistant interfaces with all members of the Columbus Partnership team, with particular focus on providing high level administrative support to the One Columbus business development and project management teams.

Essential duties and responsibilities

Administrative assistance

  • Assist in the preparation of presentations, budget documents, and quarterly reports.
  • Take meeting minutes and submit and organize expense reports.
  • Schedule meetings and manage calendars for senior leaders in the One Columbus organization.
  • Greet guests and notify expectant team members that guests have arrived.
  • Book and coordinate travel arrangements (including air, ground transportation, lodging and other necessary reservations) for multiple leaders in the organization.
  • Assist in drafting correspondence to the board of directors, staff, key stakeholders, and community members.
  • Schedule conferences, roundtables, and programs as required. This includes creating agendas, distributing invitations, and tracking responses, sending meeting-related communications and confirmations, arranging for catering, and distributing materials.
  • Assist in the organization of venues and catering for investor meetings, board meetings, and business development meetings.


General office management

  • Type correspondence, agendas, reports, meeting minutes, financial statements, memoranda, forms, and agreements.
  • Maintain and update files and card scan database and maintain email distribution lists.
  • Manage hard copy and electronic files and records.
  • Maintain office supplies and equipment.
  • Restock common areas and meeting spaces with refreshments and supplies as needed.
  • Help with miscellaneous administrative tasks as assigned (assist with compiling materials for events and meetings, proofreading, etc.).
  • Mail and ship materials, arrange courier services as needed.


Skills and qualifications

  • Two years of experience in an administrative or executive assistant role.
  • Strong communication skills and at ease communicating with individuals at all professional levels, including those in the highest levels of leadership and within the c-suite.
  • Proven ability in prioritizing competing demands.
  • Experience coordinating schedules and managing calendars for individuals and larger groups.
  • Exercise sound, independent judgment in a variety of situations, but also willing to ask questions and seek counsel when needed.
  • Maintain professionalism and discretion when handling confidential matters.
  • Expert proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Able to occasionally work outside of standard office hours to accommodate meetings and events.
  • Has a positive attitude, can-do spirit, and a deep passion for the Columbus Region.
