Job description

The Executive Assistant is responsible for providing comprehensive support to the President/CEO, Board and Committee Members, associates, and business partners. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

WHAT DOES THIS JOB ENTAIL?

40% Provides confidential administrative support to the President. Composes letters and memoranda from dictation, verbal direction, or knowledge of organization policy or procedures; edits are written communications from word processing documents. Coordinates meetings and makes travel and lodging arrangements for the President and others within the Credit Union.

20% Screens incoming mail, publications, and other correspondence.

15% Maintains the President's daily appointment calendar; makes travel and lodging arrangements as required.

10% Prepares or assists in the preparation of assigned reports.

5% Collects and prepares information for the President's use in discussions and meetings with other Credit Union managers, employees, and outside individuals.

5% Assists the President in aspects related to the Board of Directors and Committee meetings.

5% Performs other job-related duties as assigned.

Provide informed, professional assistance to all members, President/CEO, Board and Committee Members, associates, and business partners.

Meet all assigned deadlines for mail and correspondence for President/CEO, Board and Committee members, and managers.

Maintain and update credit union official policies, procedures, Board and Committee minutes, and actions.

Accurately maintain and organize the central files/records daily.

Provide approved travel arrangements for the President/CEO, Board and Committee members, and credit union associates, making reservations 21 days before travel to ensure best travel-related rates when possible. Follow up with expense reports within 10 business days after travel.

Accurately prepare and distribute assigned monthly meeting minutes ensuring on-time delivery. Update information and provide it to appropriate parties with zero errors.

Maintain a professional work environment and businesslike appearance.

Knowledge and Skills:

Experience Five years to ten years of similar or related experience.

Education A college degree.

Interpersonal Skills The ability to motivate or influence others is a material part of the job, requiring a significant level of diplomacy and trust. Obtaining cooperation (internally and/or externally) is an important part of the job.

Other Skills Excellent organizational and editing skills; typing skills utilizing Word at or above the 75 percentile in speed and 90th percentile inaccuracy; proficient with spreadsheets; shorthand a plus.
