Job Title: New Patient Referral Coordinator
Department: Operations
Reports to: Operations Manager
Supervises: No One
Employment: 40 hours/1.0 FTE: 8:00 am - 5:00 pm, Mon - Fri
Overtime Status: non-exempt
Job Summary:
The New Patient Referral Coordinator is responsible for triaging the urgency of new referrals to best treat our patient population. Receives incoming calls in a prompt, courteous and professional manner. Acts as a clinical liaison with physician's practices interacting with pre-visit services.
Primary Responsibilities:
· Receives incoming referrals via secure electronic messaging and prioritizes in order of urgency and date of receipt
· Accurately registers new patients in scheduling system
· Verifies insurance benefits and explains financial requirements to patients and/or responsible parties, as needed
· Gathers pertinent medical records from referring facilities for providers to efficiently treat patients; records communication surrounding new patient referral coordination in the EHR
· Schedules evaluation appointments per provider preferences and office guidelines; effective appointment scheduling to best utilize providers' time; reschedules appointments as needed per provider needs
· Answer patient and provider requests with accuracy, efficiency and in a professional manner
· Promptly and professionally answers a multiline phone system. Routes calls appropriately, offering voicemail or redirection of calls as needed
· Maintains appointment and order workload by coordinating with colleagues and supervisors
· Other duties as assigned
Qualifications:
Education:
High school diploma or equivalent
Education/Certification/Licensing Requirements:
- Completion of Medical Terminology coursework, preferred;
- Knowledge of insurance processes and regulations preferred
- Bilingual English/Spanish, a plus
Experience:
- One year of scheduling experience in a healthcare setting, preferred
- Knowledge of medical terminology, insurance regulations, confidentiality regulations and best practices
- Knowledge of administrative processes, procedures, claims processing, and healthcare documentation
- Knowledge of patient care delivery systems and clinical practices

Strong organizational skills with an ability to prioritize and meet deadlines
Adheres to confidentiality, state, federal and HIPAA laws and guidelines with regard to patient records.
Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment:
Well-lighted medical office. Exposure to communicable diseases and other conditions related to clinic setting. Work may be stressful due to a busy office.
Mental/Physical Requirements:
Must possess the physical and mental abilities to perform the tasks normally associated with office work involving sitting approximately 90% of the day with occasional standing, walking, reaching and lifting. Periodic stress occurs from handling many calls and dealing with patient requests.
Starting rate:
$17-$20/hr
