Business Manager Job Description

Overview of the Role

The Business Manager is a full-time administrative position, reporting to the CEO, and oversees the financial, data management and procurement functions for the Howard Gardner MI Charter School and Foundation. The Business Manager ensures that policies and procedures are followed and that timely and accurate compliance with legislative, contractual, and regulatory requirements occurs.

Responsibilities

1. Prepares monthly financial and enrollment information for CEO, and for Board reports.

2. Coordinates, with the CEO, the annual budget development schedule and process that reflects the priorities of the School and involves budget managers, finance, and personnel committees prior to final Board approval and PDE submission.

3. Prepares actual to budget revenue/expense variance reports for the CEO and budget managers.

4. Coordinates with the Operations Manager accurate district billing and tuition revenue.

5. Maintains internal financial controls and monitors cash management practices.

6. Coordinates financial oversight and reporting for all federal, state, and local grants/contracts.

7. Works closely with the IT Manager and Director, Facilities & Security in planning for technology, maintenance, and security needs for the school; ensures inventory control.

8. Coordinates the annual audit; prepares materials for auditors; finalizes audits for all entities.

9. Oversees all service contracts and coordinates periodic bidding.

10. Coordinates with HR Manager payroll, health, and pension benefits, reconciles monthly billing.

11. Reviews insurance plans and recommends improvements as needed; works with brokers and agents to monitor costs and coverage of all insurance plans.

12. Ensures compliance with all legislative and regulatory requirements at the federal, state, and local levels, e.g. UGG, IRS, PDE charter & school code laws, state, and local requirements.

13. Maintains general ledger, monthly bank reconciliations, bank transfers, credit card records.

14. Administers financial management system; establishes or improves institutional data systems.

15. Monitors the management of the PIMS system and ensures timely submission of required reports.

16. Establishes purchasing procedures, monitors vendors used, credit card usage, and expenses incurred.

17. Develops and updates School policies and procedures on an ongoing basis.

Qualifications and Experience

  • Bachelor's Degree in business administration, business management, accounting, or a related field.
  • School finance experience preferred and/or equivalent experience with business and administrative functions.
  • Evidence of school and/or business leadership experience.
  • Proficient use of technology and QuickBooks.
  • Excellent written and verbal communication skills.

  • Experience in making presentations and presenting data/information in an effective manner.

Job Type: Full-time

Pay: $60,000.00 - $65,000.00 per year
