JOB DESCRIPTION

Job Title: FRONT DESK

Overview of Employment: Must uphold our company motto at all times of "Creating Loyalty by Being Nice"

General Summary of Duties: Performs various clerical duties including answering telephones, scheduling appointments, collecting of patient payments, and reviewing patient intake forms. Responsible for data entry, scanning of patient forms/insurance cards/identification cards, and reconciliation of daily deposits.

Supervisor: Office Coordinator

Supervisory Responsibilities: None

Major Responsibilities/Tasks:

1. Answer telephone calls in a prompt and courteous manner. Record messages for staff utilizing the practice management software system.

2. Schedule patient appointments and procedures according to established protocols.

3. Obtain accurate information from patients and ensure all registration forms are complete.

4. Collect patient payments and reconcile collections on a daily basis.

5. Verify account balances for accuracy. Provide information to patients regarding unpaid balances and collect as needed.

6. Maintain patient confidentiality in a manner that is HIPAA compliant.

7. Maintain office files and records in a confidential manner that is HIPAA compliant.

8. Maintain organization and efficiency of front office including office supply inventory.

9. Perform other related duties as directed or assigned.

EDUCATION: High school diploma required; associates' degree preferred.

EXPERIENCE: Previous experience working the front desk in a medical office required with experience using eClinicalWorks software preferred.

Performance Requirements:

Knowledge:
1. Knowledge of clinic policies and procedures.
2. Knowledge of medical terminology and insurance practices.

3. Knowledge of computer programs and applications.
4. Knowledge of grammar, spelling, and punctuation to communicate clearly and effectively.
5. Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
6. Knowledge of CPT and ICD coding.

Skills:
1. Skill in operating office equipment and handling paperwork adequately.
2. Skill in handling incoming phone calls appropriately.
3. Skill in written and verbal communication.
4. Skill in gathering, interpreting, and reporting insurance information.

Abilities:
1. Ability to learn/use computer programs including email, internet and Microsoft® Excel.
2. Ability to work effectively as a team member with providers and other staff.
3. Ability to interpret and understand insurance benefits and reimbursement.
4. Ability to flexibly respond to changing demands.
5. Ability to organize and prioritize tasks effectively.
6. Ability to communicate clearly both verbally and in writing.
7. Ability to work with little supervision.
8. Ability to establish and maintain effective working relationships with patients and co-workers.

Equipment Operated: Office machinery including telephones, computers, printers, copiers, fax machines, and calculators.

Work Environment: Work performed at the front desk area in an office environment. Involves frequent contact with staff and patients. May require evening and weekend work. May require working under stressful conditions.

Mental/Physical Requirements: Manual dexterity for office machine operation and mobility to complete work tasks while sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.

Pay: From $1.00 per hour
