OVERVIEW: The Case Coordinator works as part of a team to coordinate case start materials and prepare them for assignment to legal teams. The incumbent will be primarily responsible for intake of employee and employer start materials, confirming completion of documentation and completing files for assignment to legal teams.

Responsibilities

PRIMARY RESPONSIBILITIES (Under the supervision of the Team/ Practice Manager):

* Handle case action items in START stage. Track all necessary employer/employee information and documentation and purchase orders (PO) before the case is at the stage to assign to a legal team.
* Respond to routine queries from clients regarding completing the questionnaire, providing documentation or initiating a PO. Escalate to Manager as needed.
* May identify the type of case that needs to be initiated (e.g. H1, L1) based on the information provided in the questionnaire.
* Open projects in VisaBase/Cobalt. Send out case questionnaires to employees and managers. Update VisaBase/Cobalt with any new employment or employee information as applicable.
* Follow up with nonresponsive employees/managers; and escalate and close cases as appropriate.
* Coordinate, assemble, print and organize all incoming case start materials in SharePoint in an organized and efficient manner. Create physical file, as needed.Identify cases that are ready for assignment to legal teams and deliver to Manager. May assign directly to the Legal team
* Respond to routine e-mails and/or phone calls in a timely manner. Seek guidance from the Manager on more complex requests.

SECONDARY RESPONSIBILITIES (Under the supervision of the Team/ Practice Manager):

* Assist with miscellaneous projects and administrative duties as needed.
* May generate reports, as requested.
* Perform any other duties as assigned.

Qualifications

QUALIFICATIONS:

Minimum Education Level:

* High school diploma.
* Associate's degree or 2 years of college is preferred.

Experience:

* 1+ years of experience in an office environment is preferred.
* Experience in immigration law is highly desirable.

Skills and Abilities:

* Excellent customer service and interpersonal skills.
* Strong verbal and written communication skills.
* Proficiency in the use of Microsoft Office applications.
* Ability to multi-task and strong organizational skills.
* Strong analytical skills.
* Ability to work in a team environment.
