Job description
Purpose
Payroll Clerk (PC) will assist Payroll Manger in all tasks including the accurate and timely processing of La
Familia Del Paso's staff payroll to include the main bi-weekly payroll and any special payroll runs. PC will
assist in the end of the month payroll functions, all payroll reporting, including review of Rehabilitation
Specialist Staff reports, and management reporting. PC is responsible for record-keeping and reconciliation of
employee benefits charges including the maintenance of Paid Time Off (PTO) hours. PC will be familiar with
the Department of Labor Rules and Regulations including Fair Labor Standard Act (FLSA). Payroll Clerk
will also conduct accounts payable functions ensuring that invoices contain the proper approvals,
authorizations and all pertinent paperwork prior to processing for payment. Performs professional accounting
tasks within the Payroll Department. Will perform necessary account reconciliations in relation to the A/P
function. Ensures A/P processes adhere to federal, state, and La Familia Del Paso policies and procedures.
Work involves posting, balancing, summarizing and reconciling financial transactions.
Qualifications:
- High school diploma or GED at minimum.
- Associates or Bachelor Degree from an accredited college or university with a major in Accounting or
related field (preferred but not required)
- Excellent organization and mathematical skills
- Familiarity with Windows-based computer programs a must
- Valid Driver's license with safe driving record and proof of automobile insurance
- Two (2) years' experience working with payroll functions, accounts payable, and exposure to
computerized systems preferred
- Ability to establish and maintain effective working relations with supervising personnel and co-workers
- 10key experience
- Ability to learn and use institutional software systems
Essential Duties and Responsibilities:
- Complete FLSA Rules, Regulations and Classification Standards 2020 and QuickBooks: Payroll
Training (Assigned by HR)
- Responsible for processing bi-weekly payroll
- Revision of all timesheets and Rehabilitation Specialist's Reports
- Printing payroll checks and/or processing payroll direct deposits (if needed)
- Payroll reporting, including management reporting and Rehab Specialist's services reporting
- Preparing all W2 Forms and any necessary correction. Including both paper filings and electronic filings.
- Will complete 1094c and 1095c forms for insurance purposes
- Will assist Payroll Manager to maintain a schedule of insurance contributions for, employee and
employer to reconcile the monthly payroll deductions and contributions
Employee Initials:
- Will prepare all other monthly payroll deductions and contribution check requests and will reconcile the
amounts before they are processed (if needed)
- Will answer questions and respond to special requests related to payroll and/or benefits.
- Will perform monthly petty cash audits and report to Executive Director (if needed)
- Will maintain a reconciliation of the Accounts Payable.
