Job description

We are a large real estate brokerage with offices located throughout DC, MD, and VA. Our office located in Alexandria, VA, is looking for a candidate to manage the front desk operations.

This is a full-time position (9 AM-5 PM Monday-Friday). This is not a remote position.

You would be responsible for responding to calls, questions, and requests in a friendly and timely manner, and implementing office standards. Applicants should be extremely thorough, possess excellent communication skills, and have some background in customer service.

Compensation:

$15 Hourly

Responsibilities:

Front desk operations include but are not limited to:

  • Answering multi-line switchboard
  • Distributing mail/packages/faxes
  • Notifying clients of incoming faxes/packages, etc.
  • Data entry
  • Scanning checks for deposit into a bank account
  • Review paperwork to ensure contract/listing are complete
  • Follow-up when additional paperwork is needed
  • Notify the appropriate party of any missing documents in the contract via email
  • Obtain missing signatures on documents, when applicable
  • Run credit reports as requested.
  • Manage company events calendar and registrants
  • Monitor incoming IT trouble tickets to ensure appropriate receipt and processing
  • Monitor and update IT trouble ticket emails, ensure correct recipients, and contact info
  • Join bi-weekly call with IT Support to discuss ongoing IT issues
  • Other duties as assigned and additional IT support as needed
  • Oversee and manage assigned corporate projects
  • Attend all company-wide functions and assist as needed (times may be outside typical working hours)
  • Manage assigned Manifestly task checklists
  • Social Media posting
  • Book website buildout
  • Assist with Google Listing Launch
  • The Allegiance Way Coordinator (Scheduler, Commentator, Manage content)

Qualifications:

  • Enjoys talking with customers and can communicate through verbal and written channels
  • Navigates computer programs with ease to provide a quick front-desk experience for customers
  • Customer service or administrative experience is preferred
  • Shows ability to quickly finish very detailed work
  • 2 years front desk management and data entry experience
  • Excellent organizational skills and attention to detail are a MUST
  • Vision and creativity
  • Experience on Microsoft applications, i.e. Word, Excel, Outlook, Multi-Browser Support
  • Experience managing Company Social Media and IT
  • Ability to provide good judgment in order to proactively and independently solve problems and make decisions with minimum supervision
  • Excellent communication skills, professional phone manners, and ability to communicate effectively with staff at all levels
  • Ability to work with confidential information
  • Reliable form of transportation
  • All employees are expected to contribute to a positive work environment, help each other, and suggest ways to improve processes
  • Associates degree preferred, but not required to apply
