Job description

Established Financial Firm in Fredericksburg VA seeks experienced Client Services Specialist to work in a team environment assisting with developing and maintaining excellent relationships with our current and future clients. We are adding a second Client Services Specialist, both of whom primarily supports the Director of Client Relationships and Client Relationship Manager, who work closely with our Senior Partners and Financial Advisors. This is a non-exempt position, with benefits available after a probationary period. Salary commensurate with experience. The firm is open Monday through Friday, follows typical business hours, and is closed most major holidays. No travel is required for this position. This is not a remote/work from home role.

Duties:

· Provide client services support (i.e. processing and preparing forms, interacting verbally and via e-mail/chat with clients and fund companies)

· Client facing interactions

· Provide back-up receptionist duties during lunches, vacations and on an as needed basis

o Logging incoming/outgoing correspondence

o Answering multi-line phone and routing calls as appropriate

o Managing office traffic

· Account/Client maintenance

· Assist with preparing for client reviews

· Running reports to provide data in a well-organized and easy to understand manner

· Assist with preparing/processing new business paperwork

· Scheduling appointments and calendar management

· Electronic filing

· Check handling/processing

· Seek efficiencies and suggest process improvements

· Adapt to system/process changes

· Other responsibilities as needed

Minimum Qualifications:

· 3 - 5 years of office/administrative support experience, with at least 2 years in the financial/insurance/banking industry, preferably in a customer facing environment.

· College degree or equivalent work experience.

  • Working knowledge of standard English grammar, spelling, and proper usage of punctuation; office practices, and procedures.
  • Demonstrated ability to prepare administrative reports and correspondence; collect and assemble data and information; enter and record data in various computer systems; follow written and oral instructions; disseminate information efficiently and accurately; communicate effectively orally and in writing; work independently and as a member of a team.
  • A solid attention to detail with the ability to think critically and troubleshoot as needed.
  • Strong working knowledge of the MS Office Suite and ability to navigate the internet required.
  • SalesForce and/or MS TEAMS familiarity a plus.
  • Must be able to effectively prioritize tasks, adapt to on-demand requests, and escalate when needed to ensure deadlines and expectations are met.

Pay: $38,000.00 - $45,000.00 per year
