Job description
Overview
The Office Administrator will serve under the direction of the Chief Executive Officer and is the first point of contact for responding to inquiries, clients and business contacts entering the facility or making service inquiries via telephone or e-mail and routes/forwards incoming calls as appropriate. This key business support role performs a variety of special projects and activities to include Internet research; spreadsheet and collateral material preparation; marketing projects; etc. Assists with projects for members of the executive leadership team, and manages calendars, business travel, and team support services with general administrative and cross-group projects, and partners closely with the other leaders to ensure timely deliverables.
Responsibilities
- Calendar management.
- Use of multiple system platforms for tracking data, expense and purchasing management, travel expenses, timekeeping allocation, etc.
- Arrange domestic and international travel as required.
- Ensuring awareness and compliance with organization operations policies and procedures.
- Partner with support staff across the corporation to ensure consistent and professional experiences.
- Coordinate catering, venue selection, and logistics for internal events, off sites, town hall meetings, and celebration events.
- Maintain relevant email groups and distribution lists.
- Order office supplies and equipment for team and new hires.
- Headcount management and new employee onboarding.
- Manage expense and budget reports for team and CEO.
- Other projects as requested by CEO and team.
- Build and maintain good business relationships with internal and external stakeholders.
Qualifications
- Bachelor's degree preferred.
- Strong business acumen.
- 4+ years of relevant work experience in an administration capacity.
- Relationship building skills, maturity, high degree of self-confidence.
- Excellent customer service and strong written and verbal communication skills.
- Strong understanding of care and respect as it relates to a global corporate culture of diversity, equality, and inclusion.
- Ability to prioritize multiple projects while using problem-solving skills and following through on projects in a timely manner.
- Proficiency with Microsoft Office suite (Word, Outlook, PowerPoint, Excel and TEAMS).
- Exceptional planning, collaboration, communications, analytical skills with a high attention to detail and proactive awareness.
- Strong technical and computer aptitude.
- Demonstrated ability to modify approach in response to changing and shifting priorities.
- Skilled at converting ambiguity to structured plans, navigate multi-faceted variables, and drive clarity.
- Must be comfortable in a fast-paced business environment while demonstrating composure and professionalism.

Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
