Summary: Responsible for providing day-to-day support to the Human Resources Manager by entering time and attendance in the timekeeping system, processing employee record changes, maintaining accurate files / HRIS data, and all other daily HR-related functions as needed. HR Coordinator will also provide support to other nearby facilities as necessary.
Essential Duties and Responsibilities: Essential Duties and Responsibilities include the following. Other duties may be assigned
- Administers and maintains employee files and HRIS data entry for all hourly employees; processing employment changes to personal information, W4, direct deposit, status changes, demographic changes; ad-hoc reporting as required.
- Monitors and enters time and attendance audits time entries for paid time off (PTO) points system and audits time exceptions in preparation for payroll.
- Processes electronic timesheets and ensures all timesheets have been approved by the employee, manager, and submitted for payroll.
- Generates and submits payroll reports to Payroll and Plant Manager.
- Resolves payroll system discrepancies; provides payroll information by answering questions upon request.
- Prepares final check data and termination paperwork.
- Prepares the reporting HR information and data as directed by the HR Manager.
- Coordinates with company Disability and Unemployment vendors by responding to inquires under the direction and approval of the Human Resources Manager.
- Prepares weekly reports regarding wages and hours.
- Prepares and assists with all new employee packages (benefits, new hire paperwork, etc.) and conducts all new hire onboarding.
- Coordinates leaves of absence with appropriate vendors and systems.
- Participates in special projects and team initiatives and provides administrative support as assigned.
- Handles all information in a confidential manner while maintaining HIPAA compliance.
- Saturday work as necessary to support employee and business needs.
- Travel to other sites 10% of the time.
- High school diploma or general education degree (GED); Associates degree preferred.
- 1 to 3 years of progressive Human Resources with Payroll experience preferred.
- 1 to 3 years of experience using Kronos preferred.
- Familiarity with applications of state, federal, and local employment and wage laws.
- Excellent verbal, written, and interpersonal skills with an emphasis on professional business demeanor, communication, and customer service. Proficiency in Microsoft Office, specifically Excel and Word; comfortable with calendar management and email in Outlook.
- Strong organizational and time management skills.
- Superior attention to detail and commitment to accuracy for data entry with timely follow-through.
- Keen understanding of confidentiality; ability to manage sensitive information with tact and discretion.
- Prioritization, project coordination, and collaboration skills required.
