Job description
SUMMARY
MD² International is hiring an Administrative Assistant to join our team in Bellevue! Together, the members of our team directly support a network of elite concierge medical clinics across the country with all aspects of corporate support. This is an in-office position, and our office hours are 8am to 5pm.
In this role you will support our corporate office as well as provide administrative support to our medical clinics across the country. You enjoy data entry and can proudly present an impeccable track record for your accuracy and being detail orientated. If you enjoy and excel talking with prospective patients over the phone, it is a huge plus. In this position you will also get to enjoy some physical activity and regularly roll-up your sleeves and handle office packages such as boxes of paper or water or marketing collateral. You will report to the Director of Operations, and partner with all staff, both at the office and at the clinics.

Essential Functions
· Patient Enrollment Process:
- Enter patient enrollment data into our CRM and monitor exception reports
- Clinic Support
- Support the medical clinics with the annual renewal process for our Medical Evacuation Service (Medjet)
- Monitor and maintain inventory of supplies for clinics, and order replacement supplies as needed
- Corporate Support
- Monitor and maintain inventory of supplies for corporate office, and order replacement supplies as needed
- Take care of incoming and outgoing Operations mail, shipments, packages, FedEx and like
- New Clinic Openings
- Support the enrollment process from physician invite through patient enrollment
- Order and receive supplies.
- Prospective Patient Process
- Field phone calls and email correspondence from prospective patients, and provide information about MD²'s practice model, fees and waiting list process, when needed
- Ensure that all job tasks are performed in compliance with all safety rules, and with all company rules, procedures, policies and guidelines.
Other Functions
- May support Human Resources
- Other tasks as assigned by the Company.
Knowledge, Skills and Abilities Required
- Must be highly detail oriented and maintain accuracy at all tasks
- Must be highly organized
- Strong interpersonal skills and the ability to work with people at all levels within and outside the company in a professional manner
- Excellent verbal and written skills, including spelling and grammar
- Appreciation of, and ability to comply with, the unique nature of our concierge healthcare delivery and related demands
- Must be self-motivated
- Ability to multi-task, prioritize projects effectively and comply with deadlines
- Ability to work both independently and in a team
- Familiarity with office management procedures and tools
- Excellent knowledge of MS Office, with a focus on MS Word and Excel
- Demonstrated integrity, professional demeanor and maturity in the workplace
- Ability and willingness to comply with all company and industry operational standards and requirements
- Ability and willingness to provide impeccable customer service in all aspects of the work
· Ability to maintain the strictest level of patient confidentiality.
Education and Experience Required
- Minimum 3 years of experience in a professional office environment, in an office administrator, office assistant, or in similar kind relevant role
- Associate's degree preferred, minimum High School Certification, or equivalent required
- Or any combination of education and experience that provides the same expertise.
