POSITION PURPOSE
Under general direction of the Administrator and Program Faculty Director, administer and coordinate the day-to-day operation of the Master's in Applied Chemical Science and Technology (MSACST) graduate program in the Department of Chemistry. Advise ~50 graduate students on all aspects of their educational and degree progress and maintain electronic and physical records (e.g., academic progress, evaluations, exams, teaching assignments). Serve as the main point of contact for graduate student recruitment. Work with administrators, faculty, and Graduate Program Coordinator on projects related to graduate students. Prepare quarterly and annual reports and coordinate the assembly and dissemination of materials and information related to the graduate program.
RESPONSIBILITIES
Provide guidance to all current MSACST graduate students in the Department of Chemistry. Assist students in solving problems relating to academic difficulties, career planning, and decision-making, counsel students regarding career preparation and other educational and professional programs, and guide students through the process of choosing research advisors, applying for degrees, and satisfying other degree requirements. Ensure University deadlines are met and required paperwork is completed.
Provide guidance to all prospective students pursuing MSACST graduate studies in the Department. Serve as the primary contact for all questions pertaining to this program, for the University, and work with the Admissions Committee and other faculty as needed.
Maintain and update student information and track student progress in databases as necessary, reconciling with Department and Continuum College policies and procedures affecting student progress toward a degree. Working with the Faculty Program Director and Graduate Program Coordinator, take appropriate action in various matters pertaining to registration, visas, residency, and other areas.
Apprise students of their academic performance and monitor progress toward their degree, notifying students of upcoming deadlines and monitoring completion of the requirements. Meet with the Program Director and Graduate Program Coordinator to discuss individual student progress and decide on appropriate action for problem cases.
Work with the faculty Graduate Recruiting Committee/MSACST committee and Graduate Program Coordinator to plan and organize the administrative details of hosting prospective graduate students and arrangements for all visitors using UW-approved resources. Reserve necessary campus facilities and services for events, make arrangements for off-campus events, track status of all visitors, create student and faculty visit schedules, and track all related expenses.
Track admissions offers made to prospective graduate students, including funding commitments and student acceptances/rejections.
Plan and organize incoming MSACST student orientation. Arrange preparation of materials for each student on steps to complete degree, campus services, and other relevant information, forms, and handouts.
Assist incoming students with the various steps of matriculation and relocation, providing information and advising materials prior to new graduate student orientation.
Organize seminars for faculty research presentations. Establish and confirm schedules and details with faculty and students, arrange catering, and track student attendance.
Ensure compliance of applicable requirements and procedures (Department, College, University, State, Federal) related to administration of the graduate program.
Act as primary liaison to UW Continuum College.
Perform other duties as assigned.
REQUIREMENTS
Bachelor's degree and at least three years of related work experience or the equivalent combination of education and experience.
DESIRED
Previous experience with student advising, preferably in chemistry or a related field and at the graduate level.
A degree and/or prior work experience in chemistry or a related field.
Experience with UW data systems and policies/procedures.
Experience with standard office software, especially Word, Excel, and Access.
Experience with event planning and/or similar project management experience.
Ability and desire to provide excellent customer service.
Ability and desire to successfully interact with students, staff, and faculty, including non-native English speakers, using excellent verbal and written communication skills.
Excellent time-management and organizational skills and the ability to independently manage work priorities across multiple projects, meeting specific timelines.
Ability to perform tasks with precision and accuracy.
Ability to handle senior-level confidential information with a high degree of tact, judgment, discretion, and diplomacy, and awareness of ramifications of decisions.
Self-motivation and ability to use available resources to solve problems and answer questions with minimal supervision.
CONDITIONS OF EMPLOYMENT
Occasional work outside of typical business hours may be required to meet specific deadlines or to accommodate special events or activities taking place outside of normal working hours.
