Overview
We are seeking an enthusiastic full-cycle Recruitment Coordinator that can immediately contribute to our growth and success of Catholic Community Services of King County (CCS-KC) and Catholic Housing Services (CHS) by supporting recruiting strategies and delivering an exceptional experience to candidates and hiring managers alike.
In close collaboration with the Talent Manager, you will do full-cycle recruiting from start to finish: partnering with hiring managers to create a strong job description, sourcing, interviewing, offering, negotiating and closing. You'll also play a key role in recommending recruiting ideas and strategies that will contribute to the long-range growth of our organization, implementing new approaches and fine-tuning those currently in place.
As a trusted advisor, you'll train and engage hiring managers and selected team members. You'll also engage and successfully recruit passive candidates by leveraging effective marketing techniques, as well as networking and maintaining relationships. Lastly, as part of a small, close-knit HR team, assist with other types of people projects/initiatives, as opportunities arise.
Responsibilities
Major Duties and Responsibilities:
In close collaboration with the Talent Manager:
* Conduct employment related research and assists recruitment team with electronic and other methods of sourcing of qualified candidates.
* Assist Talent Manager with customized screening and initial contact of applicants to determine qualification and interest level.
* Refer appropriate candidates to recruiter and/or hiring supervisor.
* Provide support coordination of recruitment projects and related services to supervisors, hiring managers, recruitment team members, and others.
* Participate in and provides analytical support in design, development, and implementation of recruitment projects and programs.
* Attend and participates in job fairs, community activities, and other public and departmental recruitment-related events.
* Represent and promotes organization to potential applicants by providing information, responding to questions, and collecting applicant data.
* Develop and maintains comprehensive knowledge of recruitment, employment, HRSC, compensation, benefits, pay administration, and other related organizational policies, practices, procedures, and/or regulations.
* Serve as point of contact for provision of consultative service to hiring authorities.
* Serve as resource for recruitment policies, procedures, and practices to supervisors, HR staff, and others. Refers to recruiters and other staff as appropriate.
* Handle and prioritizes multiple ranges of advanced administrative duties with wide latitude for independent judgment and initiative.
* Assist with identifying issues affecting recruitment and implementing recruitment activities to continuously improve process.
Recruiting (Detailed Responsibilities):
In close collaboration with the Talent Manager:
* Support completion and approval of Requests to Open with current Request to Extend Offer (RTEO)
* Support the distribution of postings for all staff positions. Enter new job posting into ICIMS database. Oversee external mailing, e-mail distribution, and place advertisements as needed and managing billings.
* Support the Talent Manager in responding to all recruiting related questions.
* Support in areas around posting to the job board on the CCS/CHS KC website
* Support the Talent Manager when needed with ensuring applications in ICIMS are thoroughly complete. Email link to applicant to request additional information.
* Review applications for minimum requirements.
* Support the submission of qualified applicants to the Hiring Mgr. via ICIMS and maintain interactive contact with hiring manager throughout the process.
* Participate on interview teams/panels.
* Support Talent Mgr. with submission and tracking of background checks on potential candidates.
* Process background clearances as needed
* Submit the Talent Mgr. with RTEOs to HR Director for rate/salary and follow up (email) to the Hiring Manager.
* Work/Coordinate with the Talent Manager and Hiring Manage of new employee start date or obtain hire date from hiring manager.
* Notify applicants not chosen for interview and applicants who interviewed but were not selected via ICIMS.
Onboarding (Detailed Responsibilities):
In close collaboration with the Talent Manager:
* Prepare offer letter for approval by HR Director.
* Send on-boarding link via ICIMS. Mail offer letter and additional employment forms with benefits to new employee.
* ICIMS sends onboarding forms (tasks to complete) but not offer letters with benefits
* Support onboarding processes - required hiring paperwork with employee and inform employee of benefit eligibility.
* Ensure employees complete NH Orientation, HIPAA, SP&P, Phishing trainings. Monitor pay period, monthly, quarterly and year end training reports.
* Verify educational degrees and licenses.
* The application form on ICIMS has a field for candidates to list their education, in regards to verification, that can be done through background checks but I'm not sure if education is verified at CCS/CHS
* Track RTEO's and ensure new hire packets are received. Ensure New Hire packets are reviewed and given to HR Director. Conduct New Employee Orientations (Monthly)
* Manage the Intern, and Volunteer LV, & JV hiring process and maintain files and forms.
Other responsibilities as reasonably assigned by the HR Director.
Qualifications
Minimum Qualifications
2 years' experience working in an HR office Experience recruiting employees or volunteers. Extremely detailed oriented in presenting our organization and opportunities to the general public, advertising Comfort in public speaking from career fairs, workforce panels, new employee orientations and trainings. Knowledge of federal and state laws and regulations governing human resource actions and activities. Strong interpersonal and administrative skills with proven ability to quickly develop collaborative relationships, both internally and externally. Proven commitment to recruiting and retaining a diverse workforce. Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations with proven commitment to recruiting and retaining a diverse workforce. Demonstrated commitment to the preservation of a workplace that embraces diversity and inclusivity. Willingness and ability to travel. Must have personal vehicle, current Washington driver's license and required insurance coverage in the state of Washington. Criminal background checks are required prior to employment
