JOB TITLE: Human Resources Coordinator
REPORTS TO: Payroll & HR Specialist
WORK AREA: Community Office / Remote Workspace
HOURS: Part-Time, Non-Exempt
PURPOSE:
Ruby's Place, a 50 year old non-profit specializing in helping those who have been affected by human trafficking, domestic violence and violent crimes is looking for a skilled Human Resources Coordinator to join our HR/Finance team. The Human Resources Coordinator provides employee relations service to staff and managers. Under the supervision of the Payroll & HR Specialist, this position updates changes of status in the payroll and human resources information system (HRIS), runs reports and verifies information between systems is accurate, scrubs timesheets and provides support for semi-monthly payroll processing and provides direct service to staff HR needs in a friendly and welcoming manner.
QUALIFICATIONS:
- 1-3 years related human resources and/or payroll experience, preferably in a non-profit environment
- Demonstrates a high level of professionalism with confidential and sensitive issues
- Ability to use Human Resources Information System (HRIS), experience with BambooHR or similar systems preferred
- Proficient in Google suite, Microsoft Word, and Excel
- Flexibility and willingness to work with changing priorities
- Must be able to communicate (verbal/written) with strong interpersonal skills
- Proven ability to handle multiple projects and meet deadlines
- Ability to deal effectively with a diversity of individuals at all organizational levels
- Ability to work independently and as a member of various teams
- Must be a self-starter, detail oriented, with good problem-solving skills
HOURS OF WORK:
The hours of work are part-time, 20 hours per week.
Duties:
- Enter New Employee information into HRIS, payroll system, benefits portal and timekeeping portal.
- Update employee information across all platforms (HRIS, payroll system, benefits portal)
- Process changes of status across multiple systems: Payroll, HRIS, benefits, etc.
- Scrub timesheets for semimonthly payroll in accordance with wage and hour laws and agency policies
- Prepare semimonthly payroll so that it is ready for review and transmission
- Track 90 day and annual reviews, send notification to managers to do reviews and ensure they are completed and signed in a timely manner (by the deadline)
- Assist with benefits administration
- Assist with maintaining confidential employee files
- Respond to internal and external requests and provides assistance, and redirects to the appropriate person when necessary
- Ensure all employee training in the HRIS is up to date for all staff
- Work with the appropriate staff to ensure asset tracking in the HRIS is accurate
- Assist in internal HR file audits
- Participate in Reflective Supervision.
- Fill out functional timesheet by assigned due dates and in compliance with the time allocations.
- Create and maintain documentation of processes and procedures in relation to duties of the job.
- Additional duties as assigned by supervisor
WORKING CONDITIONS:
Due to COVID-19 safety concerns and restrictions, this role will be remote to the fullest extent possible through the winter of 2021 and beyond if COVID-19 remains a safety threat. Once returning to in-person work is possible, this role will be eligible for hybrid remote/in-person work going forward. The extent of remote work will be determined by business needs. Time spent on-site versus remote working will be discussed and agreed upon with their supervisor.
The staff member is expected to be available on-site as necessary given business needs.
When on-site, staff member will work in a well-ventilated and properly lit office. Must be able to sit for long periods of time. Occasional travel may be required. May be required to lift up to 50 pounds. Subject to frequent interruptions. Must be able to multitask and handle stress.
LANGUAGE SKILLS:
Ability to communicate and write business correspondence, reports and applications. Ability to effectively present information and respond to questions from groups and individuals.
