Job description

The COO of a prominent Law firm in the heart of Century City is looking for a responsible, intelligent, and personable Executive/Personal Assistant who is ready to serve as a primary point of contact on a fast-paced, executive level desk. The right candidate will have impeccable organizational skills, be a star multi-tasker, and have the ability to work independently and prioritize without being micromanaged. This person will be communicating with several executives and handling confidential information on a daily basis, so the utmost discretion and professionalism is a must. The best candidate for this job will have excellent interpersonal skills, and demonstrate the highest level of customer service and responsiveness while also striving to grow and learn every day. This is a true hybrid EA/PA role, which does require flexibility in shifting priorities, management of family calendars, and overall being a true right arm support in every capacity.


Responsibilities:

  • Manage the business and personal calendar for the COO
  • Arrange complex travel itineraries and trips, including flights, hotels, car services, and anything else needed for point-to-point VIP reservations
  • Act as a gatekeeper/point of contact for the COO
  • Develop and maintain strong relationships between the COO and all internal/external staff and contacts, ensuring smooth communication
  • Be able to take on high-level assignments and be able to problem-solve independently
  • Help coordinate company and personal events, with an eye for aesthetics, planning, and budgeting
  • Punctually attend any and all events, meetings, and necessary engagements
  • Facilitate any home projects, including activities for family and any personal appointments, puppy vet visits or miscellaneous tasks

Qualifications:

  • Minimum 4 years of PA/Administrative support experience
  • Bachelor's degree required
  • Hospitality industry experience a plus and/or professional services
  • Proficiency in Microsoft Office Suite
  • Must be willing to drive offsite on occasion as needed mostly in West LA
  • Familiarity with booking airline travel and hotels, as well as contacting private jet brokers
  • Must be comfortable with dogs ( animal lovers in this family)
  • Must be extremely skilled at prioritizing, working on multiple projects at once, and be motivated by meeting deadlines
  • Seeking a long-term commitment and EA/PA role
