Receptionist Job Duties


The Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. The receptionist takes direction from the Office Manager / Lead Sales Coordinator and the management team


  • Courteously answer, screen, and forward any incoming phone calls, while providing basic information
  • Greets and assists walk-in customers; provide the customer with a quote or direct them to sales staff
  • Maintain office security by following safety procedures and controlling access via the reception desk (virtual receptionist)
  • Process customer payments in QuickBooks
  • Receives and sorts daily mail / deliveries
  • Coordinates outgoing UPS /FedEx correspondence / packages
  • Updates / Maintains appointment calendars for CEO and Sales staff
  • Files invoices, payments, POs, etc., in a timely manner
  • Assists with Will-Call window, as needed
  • Maintains a well-stocked, neat and orderly office supply closet; advises Office Manager of office supply needs
  • Perform other clerical duties such as photocopying, faxing, etc.
  • Empties all office trash before the end of shift
  • Experience with Material Handling Industry (Pallet Rack, Material Handling Equipment) a plus


Maintains quality service by following organization standards

  • Maintains safe and clean work environment by keeping general front office area and workstation neat; complying with company procedures, rules, and regulations.
  • Contributes to team effort by accomplishing related tasks as needed and keeps a positive work attitude.
  • By request of management, assists other departments as needed
  • Quickbooks experience required
