Civil Clothing Inc. is seeking a Production Coordinator who is a quick learner and a self-starter with excellent organizational skills and can adapt well in a fast-paced environment. As a Production Coordinator, you will be responsible for coordinating with multiple department and vendors. The main role of the production coordinator is to own the production process from concept through finished goods delivery. You will build strong bonds with internal and external partners to ensure the milestone are met to keep production on track. You will take the lead to ensure quality of product, on time delivery at competitive prices. Duties include but not limited to:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Attend Handover Meetings and take ownership of production from concept through delivery in our DC.
  • Establish Time and Action calendar (tracking WIP) for overseas factories to ensure that all the goods meet delivery and quality standards. Push weekly updates from factory
  • Follow through the complete production process including lab dips, strike offs, fabrics, trims, fit, size set, pp & TOP sample approval
  • Understand component costing process and breakdowns
  • Maintain records and documentation of all related purchasing activities such as vendor and purchase orders in QB system maintenance & ensure accuracy on pricing and delivery dates. Maintain WIP report Oversee the Production department to ensure that all daily tasks are completed in a timely manner, working closely and addressing any issues or questions that may arise
  • Follow up with sales on pending orders or customer revisions
  • Understand overall production management process and establish Work in Progress with the factories to keep orders on track
  • Ensure all product is in compliance with all applicable international/U.S. laws and regulations as well as specific customer testing requirements
  • Understand all principals of logistics & follow up on all inbound shipments. Ensure internal reports are actualized as soon as shipment are in transit
  • Maintain close communication with the Operations department and customer Service on inbound deliveries and order tracking; maintain weekly meetings; update QC on all incoming shipment; provide TP and approved pp sample for their cross checking
  • Be proactive, anticipate problems, facilitate problem solving, and address issues in a timely manner
  • Interact with and monitor design on product development task
  • Facilitate communication between vendors
  • Document all charge-backs and non-compliance issues for senior management to review
  • Ensure all products are in compliance with CIVIL policies and procedures
  • Manage the pre-costing process which includes analyzing design cads, markers, fabric specs, and trim specs to estimate the most realistic and accurate pricing for all styles
  • Review and negotiate costing and profitability margins
  • Work closely with art department to take over fabric approval and lab dip process once line is presented
  • Obtain time and action calendar information from all vendors with prices and communicate the same to planning in a timely manner. All schedules should be set up using the most cost-effective shipping method
  • Facilitate all trim coordination including purchases, track delivery and development (in some cases)
  • Interact with trim vendors to ensure trims arrive to the factories in a time
  • Work with all vendor/agents to receive standard WIP reports weekly
  • Familiar with Vendor Compliance forms
  • Assist with publishing and distribution of Purchase Orders and updating daily's schedule to include: PO's #, styles, fabric, etc.
  • Assists the Production Manager on a daily basis by providing requested status updates and discussing scheduling plans
  • Update Import Production logs
  • Run weekly availability reports
  • Communicate with Production Department and Operations regarding status of product/logistics.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficient with Microsoft Office Suite such as MS Word, PowerPoint, Outlook or related software, Excel - (formulas such as vlookup and pivot tables) *THIS IS A MUST*
  • Data Entry experience utilizing Quickbooks
  • Excellent written and oral communication skills
  • Excellent interpersonal and customer service skills, a people person with positive attitude
  • Outstanding organizational skills and attention to details
  • Ability to prioritize tasks
  • Ability to function well in a high-paced and at times stressful environment
  • Ability to pay close attention to detail and coordinate various activities simultaneously

EDUCATION and EXPERIENCE:

  • High School diploma
  • Minimum 5-7 years at a Domestic/Import apparel production company is preferred with experience in Private Label
