Role and Responsibilities

Job Description

  • Answer phone calls in a courteous and professional manner; forward phone calls as required, introducing the caller and the purpose of the call to the recipient of the call.
  • Meet and greet visitors at the reception desk and guide visitors to the appropriate person in the department.
  • Employee, visitor, contractor badges.
  • Provide HR support for all facets of Human Resources to HR Business Partners.
  • Provide administrative support to Center Leader and Head of Operations.
  • Assist and be first point of contact for employees on any HR related queries.
  • Coordinating logistics for New Hire Orientations.
  • Responsible for I-9 Administration and Audits.
  • Create and organizing employee events, meetings, and employee recognition,
  • Coordinates Human Resources office supply order and employee uniforms to include inventory.
  • Coordinating HR/Management communication.
  • Responsible for filing and updating database for all staff personnel.
  • Produce reports as required.
  • Maintains confidentiality in dealing with sensitive company/employee data.
  • Employment Verifications.
  • Prepare and amend all necessary HR documents.
  • Other HR related duties as assigned.


Knowledge, skills, and experience:
  • Proven work experience of minimum of 2 years as an HR Administrative Assistance.
  • Computer literate with programs such as Microsoft Word, PowerPoint, Excel, and various HR software systems.
  • Knowledge of employment legislation and company HR procedures
  • Good organizational and administrative skills.
  • Strong interpersonal skills.
  • Strong problem-solving skills/experience.
  • Strong phone, email and in-person communication skills.
  • Exceptional interpersonal and time management skills.


Complexity and creativity - problem solving:
  • Work is generally routine following established company and legal procedures but some work can be complex at times.
  • Some problems must be solved within tight time constraints.
  • Problems arising on a range of employee related issues involving the practical application of knowledge of procedures and analytical issues.


Judgements and decisions:
  • Scope to deal with routine and non-routine problems unsupervised.
  • Complex problems would be referred to Human Resources Business Partners.


Financial information:
  • The job holder carries out administration work relating to the HR


Control, contacts, and communications:
  • Regular communication with a broad range of external contacts
  • Regular internal communication with all levels of staff within CAE.
