Reporting Relationship

The Executive Assistant will report to the CEO and President and will be based at the Company's HQ in Deerfield Beach, FL.


 Key Responsibilities

  • Day-to-day administration and coordination of all areas of executive support.
  • Proactively manage executive calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency.
  • Handle all travel arrangements and itineraries, and frequent revisions as needed.
  • Schedule and coordinate various meetings and events, including 1x1's, L10's, and Board meetings.
  • Interact with key contacts and other C-level individuals.
  • Draft emails, letters, and other correspondence on behalf of the CEO and President.
  • Create and maintain cross-departmental relationships to enable leadership success.
  • Aid executive in preparing for meetings, compile meeting agendas, capture meeting minutes and track action items and issues to closure throughout the organization.
  • Complete expense reports and manage corporate card purchases.
  • Quickly pivot and be available as business needs arise, including after hours.
  • Various other ad hoc requests, including office and facility management.

Experience

  • Minimum of 3+ years of experience supporting C-level management.
  • Bachelor's degree required.
  • Outstanding verbal and written communication skills.
  • Patience and flexibility, with the ability to anticipate change and to react efficiently.
  • Strong computer skills; proficient with Microsoft Office Suite.
  • Self-starter, self-directed and act appropriately with little direction.
  • Ability and desire to develop a long-term relationship with the CEO and President based on trust and mutual respect.
