Reporting Relationship
The Executive Assistant will report to the CEO and President and will be based at the Company's HQ in Deerfield Beach, FL.
Key Responsibilities
- Day-to-day administration and coordination of all areas of executive support.
- Proactively manage executive calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency.
- Handle all travel arrangements and itineraries, and frequent revisions as needed.
- Schedule and coordinate various meetings and events, including 1x1's, L10's, and Board meetings.
- Interact with key contacts and other C-level individuals.
- Draft emails, letters, and other correspondence on behalf of the CEO and President.
- Create and maintain cross-departmental relationships to enable leadership success.
- Aid executive in preparing for meetings, compile meeting agendas, capture meeting minutes and track action items and issues to closure throughout the organization.
- Complete expense reports and manage corporate card purchases.
- Quickly pivot and be available as business needs arise, including after hours.
- Various other ad hoc requests, including office and facility management.
Experience
- Minimum of 3+ years of experience supporting C-level management.
- Bachelor's degree required.
- Outstanding verbal and written communication skills.
- Patience and flexibility, with the ability to anticipate change and to react efficiently.
- Strong computer skills; proficient with Microsoft Office Suite.
- Self-starter, self-directed and act appropriately with little direction.
- Ability and desire to develop a long-term relationship with the CEO and President based on trust and mutual respect.
