Position Description: Responsible for scheduling of pre-op appointment. Serves as coordinator of patient flow throughout the pre-admission process. Provides clerical support to nursing and medical staff. Acts as liaison with physician staff and other hospital departments to gather historical data and/or arrange appropriate studies for the pre-op patient.

  • Serves as a receptionist, greets patients and visitors
  • Answers all calls in a timely and polite manner, preferably within 4 rings. Assists caller, routes call or takes message.
  • Distributes orders to lab, radiology, EKG or nurse as appropriate.
  • Assists nurse in gathering prior medical records from physician offices or other medical facilities.
  • Acts as liaison to physician offices, establishing and maintaining exchange of information.
  • Acts as courier, delivering charts that need immediate review to first call anesthesiologist and daily delivery of completed charts to appropriate surgical areas.
  • Maintains constant work communication between department supervisors. Refers problems or conflicts directly to department supervisor or charge nurse.
  • Maintains inventory of paper supplies, educational materials and clinical supplies. Maintains office machinery.
  • Coordinates patient flow through the various stages of the pre-admission process.
  • Maintains orderly and safe work and patient environment.
  • Performs EKG's and other related functions.
  • Assures that all documents placed in patient medical record are accurately identified with correct patient information.
  • Maintains organized patient records for ready access by all care givers.
  • Complies with all hospital and department policies regarding documentation requirements.
  • Ensures HIPAA compliance in management of all patient information.
  • Creates charts and maintains chart supplies. Chooses correct chart pack, labels chart appropriately, adds any required forms on individual basis.
  • Books pre-op appointments for incoming surgical patients with the patient directly or through the surgeons' office. Obtains all necessary and detailed information.
  • Checks appointment book or computer for future appointments and rescheduled or cancels appointments as necessary.
  • Calls all scheduled patients the working day prior to the appointment as a reminder.
  • Copies schedule for next day and pulls any available orders.
  • Informs surgeons office by phone if patient misses appointment.
  • Marks on the desk copy of the schedule as appropriate, "R/S" (rescheduled), "NS" (no show), or "CX" (canceled - including reason for cancellation). Delivers this schedule, and the patient sign-in log to Charge Nurse daily for tracking statistics.
Qualifications
Position Requirements: Education:
  • Ability to read, write and understand written and oral instructions required.
  • High School Graduate or GED Preferred.
Experience:
  • 2 years of administrative office/secretarial experience.
  • Knowledge of medical terminology preferred.
Skills, Knowledge, and Abilities:
  • Demonstrated communications and customer service skills, success in organizing work, computer skills, and ability to multi-task.
Licensure/Certification:
  • BLS through American Heart Association is preferred
