Job description

A national firm with headquarters in Westmont, IL and with 100 ppl in the office and 2300 employees nationally, is looking for an Executive Assistant to support the CEO and the COO. It is a growing company that is making acquisitions and adding new sites and is backed by a major PE firm. This is a new position. The company has grown and there is a need for top-level EA to assist the CEO and the COO. The role will primarily support the CEO. The the dress code is business casual (jeans on Friday). The role will a hybrid with an opportunity to work from home 2-3 days a week. The CEO travels about 80% of the time.

About the Job:

Coordinate and prioritize meetings for the CEO

Develop positive internal and external relationships

Research executives and companies and compile summaries for the CEO's meetings

Track progress of projects with internal executives and keep the CEO apprised

"Manage up" - contact the CEO's team on behalf of the CEO

Coordinate Board meetings, prepare materials for the meetings and follow up on action items

Attend meetings with the CEO and take notes

Assist in maintaining an ever-changing calendar and prioritize on CEO's behalf and make sure the CEO's day runs smoothly

Make personal appointments for the CEO and put on the calendar

Coordinate complex travel arrangements

Vet and prioritize the CEO's emails

Coordinate leadership meetings (location, travel, catering)

Process expense reports

Screen incoming phone calls delivering detailed, timely messages

Some off-hour availability required

About You:

Minimum of 7 years of experience in a related support position

BA/BS from a college or university

Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

Strong communication skills: written and verbal

Strategic thinker

Understand the importance of confidentiality and trust when supporting a CEO

Dynamic and proactive comfortable in a fast-paced environment.

Polished, professional demeanor and the gravitas to interact with high-level executives

Proactive -have ideas on taking tasks off the CEO's plate

Outstanding communication skills
