Overview

The overall purpose of this job is to provide administrative support for the Executive Director/Center Director and management staff of a specific location. The responsibilities of this job include managing daily office operations, billing, financial reports, internal communications, and guest inquiries. Supports and lives out the Mission and CHRIST Promises.

Responsibilities

Key Areas

Key Responsibilities and Duties of the Job

Office Management

  • Assists executive by coordinating and ensuring the completion of administrative tasks as requested.
  • Manages front office day-to-day operations.
  • Drafts, copies, and distributes communications to appropriate audiences as needed.
  • Hires, trains, supervises, evaluates, and disciplines front office staff ensuring proper staffing and conduct.
  • Serves as point-of-contact for questions and concerns from residents, participants, family members, and staff questions.

Accounting Support

  • Processes monthly billings and completes transfer of bank deposits.
  • Completes summary of financials including move in/out charges.
  • Works with accounting department to solve problems or develop and implement quality accounting processes and procedures.

Special Projects

  • Assists move in/move out team when moves occur.
  • Completes special projects or assignments as needed or requested.

Other

  • Performs other duties as assigned or requested.
Qualifications

Education-

  • Associate Degree in Accounting/Business/Office Administration is required.
  • Equivalent years of experience may substitute for education requirement.

Experience-

  • Three (3) years of experience as an Administrative Assistant or Office Manager.
  • Equivalent years of education may substitute for experience requirement.

KSA- Knowledge Skills and Abilities-

  • Knowledge of basic accounting principles.
  • Knowledge of customer service principles.
  • Knowledge of the organization as well as the operational aspects of the community/location where the employee serves.
  • Skills in Microsoft Word, Outlook, and Excel.
  • Skills in professionalism and communicating with a pleasant demeanor.
  • Skills in professional written and verbal communication.
  • Ability to act in the absence of the Executive Director/Center Director using solid judgment, proper discernment, and appropriate action.
  • Ability to organize work effectively.
  • Ability to manage time efficiently.
  • Ability to communicate effectively with all types of people in a professional and courteous manner.
