Role Overview and Responsibilities:
Job Summary
This HR Administrative Assistant provides general administrative assistance to all departments, specifically the HR department. This role will support the HR team in a variety of processes and procedures.
Essential Functions
• Manages first impressions at the front desk. Responsible for overall office maintenance and presentation. Ensures front office space is tidy and presentable (5S).
• Serves as front point person for the security team by maintaining security screen, badge system and visitor touch pad system. Maintains security list and check in/out process for visitors.
• Answers the main phone line in a professional and courteous manner. Checks and disperses general office voicemail and faxes.
• Coordinates outgoing mail, as well as incoming mail and packages.
• Follows schedule and procedures for daily, weekly, bi-weekly and monthly standard work.
• Collaborates with purchasing team to keep inventory of general office and break room supplies.
• Coordinates with outside vendors for office-related services and products.
• Provides assistance to various departments (i.e, Sales, Purchasing, Quality, Accounting), as needed.
• Assists with the planning, preparation, and coordination of logistics for onsite customer and vendor visits, as well as offsite events.
• Other duties as required and assigned.
HR Functions
• Provides administrative support to HR and Benefits teams, including but not limited to record-keeping, correspondence, communications, scheduling, and reporting.
• Assists and supports HR team with full cycle recruitment efforts, including but not limited to job postings, applicant tracking, phone and on-site interviews, pre-employment items, and new hire onboarding.
• Assists with maintaining the HR databases and processing employee transactions in HRIS systems. Maintains trackers and spreadsheets related to HR data.
• Assists with employee file paperwork and ensures that files are complete, up to date and compliant.
• Supports HR team with the facilitation of the performance review process, including the tracking of completed reviews, sending reminder notifications, and filing of documentation.
• Coordinates and contributes to HR and Benefits/Wellness projects as assigned.
• Other duties as required and assigned.
Qualifications, Skills and Attributes:
Education and Experience
• 2-5 years administrative assistant experience required.
• Associates or Bachelor's degree preferred.
• Proficiency with the Microsoft Office Suite required.
• Experience with HRIS systems preferred.
• Ability to juggle multiple projects/tasks at any given time.
• Enjoys and thrives working in team environment.
• This position entails working in an office environment with access to stand office equipment. Lifting up to 15 pounds occasionally could be required.
