Job description

Ballinger is seeking an experienced Office Manager to oversee the general administrative functions of a large 250 person architectural and engineering firm with the ability to work in a fast-paced, team-oriented environment. The Office Manager is an enthusiastic professional with multiple responsibilities in support of a dynamic design practice. Experienced in handling a wide range of office, administrative and executive support related tasks with the ability to work independently with minimal supervision is essential. The individual must be flexible, detail oriented, and able to handle simultaneous assignments and responsibilities with success and accuracy.

Responsibilities:

  • Oversee general office operation and ensure that the office operates smoothly and efficiently
  • Provide administrative support to the firm's senior leadership
  • Management and supervisory responsibilities for administrative office staff including, hiring, training, conducting performance reviews
  • Assigning and monitoring clerical, administrative and secretarial responsibilities and tasks among the office administrative staff
  • Ensure top performance of office administrative staff by providing them adequate coaching and guidance
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office in consultation with human resources
  • Manage service provider and vendor relations including janitorial services, office equipment, external reprographics firm with in-house staff, and food vendors amongst others.
  • Oversee routine preventative maintenance of facilities and equipment as well as work with building management to resolve any facility-related issues


Requirements:

  • Eight+ years of experience in the management of administration and facilities functions for a large firm is preferred
  • Experience working in architectural and engineering firms is preferred
  • Supervisory experience with knowledge of business operations, facilities management, and administration best practices
  • Excellent communication skills, exceptional interpersonal / relationship-building skills, and strong decision-making abilities
  • Extensive knowledge of office management procedures
  • Excellent organizational skills and attention to detail
  • Ability to resolve problems and the ability to work collaboratively with a wide variety of professionals
  • Ability to interact professionally with management, employees, clients, vendors, and other external sources
  • Proficient with Microsoft Office Suite and other regular business related applications
