Job Details The Department of Medical Physics is actively developing methods to address a wide range of imaging, radiotherapy, and engineering challenges in the treatment and diagnosis of cancer. We collaborate among medical physicists, radiation oncologists, radiologists, and clinical investigators to ensure that the latest developments benefit patients as quickly as possible. We are responsible for the safe use of radiation by our patients and staff, the calibration of radiation-producing equipment and radioactive sources, and the design of devices for use by other departments. We are looking for an Administrative Assistant to provide support to high-level Departmental faculty leadership on our team. You Are:A professional who is comfortable working closely with senior faculty and staff An effective communicator, determining how best to reach various audiences and executing communications based on that understandingFlexible in your approach and demeanor in order to align with the shifting demands of evolving circumstancesAdept at building partnerships to meet shared objectives and goalsCapable of building strong customer relationships and delivering customer-centric solutionsA good decision-maker, with shown success at making timely decisions that keep the organization moving forwardWilling to take action and eager to embrace new opportunities and tough challenges with high energy, and passionA critical problem-solver who is resourceful with excellent organizational skills and able to handle competing assignmentsYou Will:Data gathering, analysis, and report generatingPrepare, proof-read and process documents for approval and/or distribution utilizing office automationCreate, manage and maintain neat, organized, accurate, and up-to-date filing systems for academic and administrative officeTrack expenses of faculty, staff, and non-employees; process reimbursements and payments Assist with scheduling and making travel arrangementsManage Vice-Chair/Division Director's calendar and schedule meetings as assignedAssist Vice-Chair/Division Director on special projects to complete tasks such as drafting correspondence, copying and distributing correspondence/paperwork, and filingPrepare purchase requisitions, work orders, and process invoices for paymentGather information and perform data entry in MSK Time and Qgenda timekeeping systems Coordinate new employee team-specific orientation Craft and distribute email communications including notifications, announcements, agendas, and invitationsCoordinate candidate interviews involving multiple partnersPrepare meeting minutes; assist with editing and formatting academic papersPerform other tasks delegated by the Director and Operations ManagerYou Have:High School Diploma/GED, with 2 years experience providing executive-level administrative support; Bachelor's degree preferredProficiency in Microsoft Office - Word, Excel, PowerPoint, Outlook Excellent written and oral communication skillsAbility to multitask in a high-volume officeThe ability to work independently under general supervision#LI-POSTWork Hours: Monday-Friday, 9:00am-5:00pm #LI-Post
