Position Summary
The Heilbrunn Department of Population and Family Health, Mailman (HDPFH), School of Public Health seeks a Grants Financial Coordinator. Under the direction of the Director of Research Administration, the Grants Financial Coordinator will assists with a broad range of pre- and post-award tasks for the Department. The HDPFH funding portfolio consists of government, foundation, gift and institutional funding sources. The position will collaborate with faculty and staff and requires excellent analytical and quantitative ability, strong written and verbal communication skills.
Responsibilities
* Pre-Award- 25%
* Working closely with the Director and PI, support progress of proposal preparation to ensure on-time submission to SPA and sponsor.
* Update and maintain Departmental Dashboard, including pre-award deadlines and workflow.
* Assist in the development of grant proposals by creating checklists delineating the required components of the proposal; coordinating the collection of materials from investigators and partners; and registering the proposal in the University online portal, RASCAL.
* Support the completion of sponsor and University required forms for review by the Director and PI; initiate application in sponsor submission portals such as ASSIST and complete administrative and budget forms.
* Support budget preparation for proposals, including costing of supplies, travel, incentives etc.
* Post-Award- 70%
* Process new incoming awards and modifications: prepare project set-up and modification forms for account set-up; add new grant details and reporting deadlines to the Department Dashboard.
* Perform ongoing financial review and reconciliation: review project finances by reconciling projects monthly and communicating variances between budget vs. actual to the Director. Analyze the impact of expenses on overall project budget and notify the Director of any concerns.
* Financial reporting: prepare draft financial reports for review by Director and submission to SPF.
* Download attestations for quarterly meetings with PI; obtain back up documentation for expenses when needed to facilitate discussions with the PI. Investigate and resolve discrepancies with the Department when necessary.
* Assist with annual effort certification process and compliance with conflict of interest requirements and other compliance mechanisms.
* Maintain electronic files for active awards.
* Perform other related duties as assigned- 5%
Minimum Qualifications
* Bachelor's degree or equivalent in experience and education
* 3 years of professional work experience
* Strong written and verbal communication skills; excellent analytical and quantitative ability
* Strong attention to detail
* Ability to acquire and apply knowledge quickly
* Ability to exercise sound judgment, prioritize workload and make informed, independent decisions
* Skilled at building and maintaining relationships; and ability to exercise tact, discretion and judgement in sensitive and confidential matters
* Ability to work well under pressure and adhere to deadlines
