Job description

Description: The Assistant Property Manager is responsible for assisting the Property Manager in the overall operation of the property, and the day-to-day implementation of policies, procedures and programs that ensure a well-managed, well-maintained community. The following list of duties is not exclusive or exhaustive, and the company may from time-to-time delegate different or additional duties to the Assistant Property Manager.
Position Purpose: To facilitate in tandem with the Homeowner Association Board and committees a high quality of residential life; protect and enhance property values and related economic interests of owners; and ensure that the common areas are operational and physical assets are maintained to a high standard in the most efficient manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works with the Property Manager in completing daily tasks
  • Monitors staff frequently at the direction of the Property Manager
  • Assists in the handling of owner and/or resident requests and various concerns
  • Assists with vendor issues and/or requests
  • Assists in managing complex or emotional customer situations
  • Responds promptly to security issues on property
  • Responds promptly to customer needs and requests customer feedback to improve service
  • Assists in handling resident requests and concerns
  • Attends and assures accurate recording of business notes at Association meetings for Board review and distribution.
  • Assists with monitoring contractors' and vendors' performance.
  • Communicate in a clear and professional manner (both orally and in writing) with residents and all front desk shifts to ensure resident satisfaction, while upholding company standard.
  • Must maintain a high level of confidentiality.
  • Assist in maintaining the appearance of Lobby and office work areas, including notifying maintenance of any needs.
  • Writing work orders for Engineering department based on information from residents or vendors.
  • Perform inventory inspections and notify Property Manager to replenish when necessary.
  • Ability to manage security software to monitor key releases, security cameras, alerts and monitor goings on throughout the building on a regular basis.
  • Assists with any other assignments delegated by the Property Manager

. Requirements: QUALIFICATIONS

  • Must be proficient in the Microsoft Office Suite with an emphasis on Excel, Word, and PowerPoint.
  • Must have experience associated with management and administrative duties in a high rise condominium or hotel setting preferably.
  • Must possess strong attention to detail with the ability to prioritize and juggle multiple job functions.
  • A strong background in customer service, some basic knowledge of building structures and experience in coordinating and scheduling are essential.
  • Ability to learn and be proficient in building management software.
  • Must have excellent verbal and written communication skills.
  • Demonstrated eye for detail.
  • Demonstrated organizational skills and ability to independently prioritize daily workload.
  • Candidate must submit to a criminal background check and drug screen prior employment.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • This is largely a sedentary role: however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
  • This job operates in a professional office environment. This role routinely uses standard equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
