The University of Washington's Finance Transformation Program (UWFT) has an outstanding opportunity for a Business Systems Analyst.

The University is modernizing its existing financial systems through the implementation of Workday Financials with a planned go-live date of July 2023. This position will be part of the team responsible for the design, configuration, documentation, and testing of functionality that will change the business processes and tools the University uses to track, spend, collect, manage, and report on its money, impacting the entire University, including all UW campuses and UW Medicine. This role bridges business and technology to help stakeholders understand what is changing as part of the University's journey toward Finance Transformation.

The position is responsible for managing and executing the business components of a complex enterprise wide project that bridges business and technology. The position requires a demonstrated ability to quickly climb the learning curve on new concepts and technology, gathering and analyzing detailed data and then linking that to broader strategic concepts. Project work will be focused on documenting financial business processes, defining and designing business process improvements and identifying related policy and process changes necessary to support improvements, internal control compliance, and audit requirements. Project work will also involve defining workflow requirements, modeling data, and defining metadata. This work will be addressed at both a UW department level and for the enterprise implementation of the new financial system. This position requires demonstrated ability or experience working with key stakeholders as well as all levels of staff and must be able to communicate effectively (written and verbally) to all. Requires a strong blend of technical/process skills, requirements analysis and group facilitation. Must have strong organizational skills to prioritize a diverse workload. Requires demonstrated problem-solving skills and the ability to approach complex issues and relationships with finesse, patience, tact and confidentiality.

The Finance Business Transformation Program will be one of the highest profile efforts at the University, and will involve the implementation of one of the largest financial systems in Washington State. The outcome of the project will be highly visible at all levels of the University and State.

The Project will fundamentally change the processes and tools the University uses to track, spend, collect, manage, and report on its money, impacting the entire University, including all UW campuses and UW Medicine.

The position requires interaction with a diverse set of decision makers at different levels of the University, spanning information subject areas of the University including, Academics, Financial Resources, Research, Treasury, Advancement and Information Management.

The Finance system solution will operate in multiple, complex and diverse information technology environments and platforms.

The scope of The Finance Business Transformation Program and Finance System implementation includes many process areas including: General Accounting, Cash Management, Asset Management, Inventory, Project Accounting, Billing & Receivables, Grants Management, Procurement and Payables, Budgeting, and Financial Reporting and Analysis.

RESPONSIBILITIES:

Analysis

  • Investigate and analyze current state business processes and financial and management system landscapes and architecture
  • Capture, evaluate, prioritize and understand business needs and translate them into business process and system requirements.
  • Analyze business problems and develop solutions; identify and assess alternatives; develop business cases and proposals that support decision making among a diverse set of process partners.
  • Develop and perform system demos that represent future state process transformation in support of change management activities
  • Critically evaluate information gathered from multiple sources and reconcile conflicts.
  • Assess benefits and change impacts to be derived from systems improvements and quantify impact to business units.
  • Conduct business process configuration of the Workday finance module
  • Participate in all phases of testing future state business processes including writing tests scripts, developing test scenarios and executing test cases. Document test case results and conduct defect resolution.

    Project Management
  • Participate in process transformation teams (subject matter experts from across the university) focused on documenting current state and envisioning future state for major institutional end to end financial processes
  • Work independently to manage key components of the project-includes defining tasks, managing the work, and being accountable for the deliverables of assigned components such as the total cost of ownership
  • Use independent judgement to determine appropriate escalation and resolution of issues within program structure
  • Meet project deadlines to full completion
  • Work directly with the project manager(s) to track time, schedule, budgets and compile reports as needed for quality assurance and executive review
  • Collaborate with vendor resources and maintain project standards and consistency across the implementation team.

    Communications
  • Collaborate and partner with multiple stakeholders across the organization including project team members
  • Communicate complex processes, problems, and solutions in a simple, compelling, accurate, and highly visual manner
  • Work with all levels of management to critically evaluate and communicate business issues/risks with conviction to campus clients and team members
  • Facilitate meetings and/or design sessions to validate, prioritize, and document requirements
  • Make presentations to user groups and key stakeholders
  • Serve as critical liaison between business, technical, program and support teams

    Other Responsibilities

    REQUIREMENTS:
  • Bachelor's degree in accounting, finance, business administration, or other related fields
  • Five years of experience doing progressively more complex business, system or financial analysis within a project or program environment such as scope definition, requirements gathering, business process design, etc.
  • Significant understanding of financial terms, business processes, and financial reporting.
  • Experience with system implementation deliverables, including fit-gap analysis, total cost of ownership, benefits analysis, and business process improvement
  • Self-starter and able to manage multiple priorities and tasks in a dynamic environment.
  • Demonstrated excellence in both written and verbal communication skills, technical documentation skills, user liaison skills, and personal interaction abilities.
  • Advanced ability to develop efficient and effective analytic methodologies and approaches to generate value, address a broad range of operational and performance issues, execute the analysis in a timely, accurate and reliable manner, communicate findings clearly and concisely to diverse business leaders, key contributors and stakeholders.
  • Advanced critical thinking and problem solving skills
  • Demonstrated ability to work independently and as part of a team in a cooperative effort.
  • Ability to deal with trade-offs, conflict, and change management in a collaborative and positive manner

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:
  • Expertise with SharePoint (or similar project management tools), spreadsheet, word processing and presentation applications
  • Experience with a major audit, accounting or consulting firm
  • Experience in a large university, large medical center, or other large complex enterprise
  • Knowledge and experience implementing Workday or similar enterprise level software systems in support of administrative or operational needs
  • Experience partnering with organizational change management
  • Demonstrated success in facilitating work groups and ability to develop consensus
  • Previous experience in a business analyst role or as key point of contact.
  • Previous experience with higher education financial and/or budget processes
