About the Role:
Supporting a busy calendar for our C-Suite, the Executive Assistant will work in a team environment and build effective working relationships inside and outside of the company. Key to the position is the ability to handle multiple tasks and encompass exceptional communication skills. You will complete high volumes of tasks with minimal guidance or supervision while maintaining an awareness of deadlines. As such, the candidate must be skilled at anticipating and solving problems, focused on details, able to create contingency plans, manage multiple priorities, and organize logistics. This is a full time role based in our Oakland office.
Responsibilities:
  • Manage a busy calendar, prioritize and schedule (and reschedule!) meetings and conference calls
  • Act as the external contact point, providing phone and email support, screening and follow-up on phone calls and voicemails
  • Project manage both on and off-site meetings as well as team events - travel planning, site selection/prep, menus, and meeting attendee logistics
  • Provide general administrative support to the Mynd executive team to include:
    • Monitoring and organizing Executive's inboxes
    • Providing other daily support as needed
  • Perform accounts payable processing and other basic accounting functions as needed to include:
    • Handling expense accounts and reimbursements via Concur
    • Assist with entering and processing approved payments as needed
    • Maintaining detailed files/records
  • Handle confidential and sensitive information
  • Be available to support the executive team outside of normal business hours.
Qualifications
  • 2-3 years of EA experience supporting C-level/VP level executives required.
  • Experience in a tech start up highly preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Demonstrated ability to manage complex tasks and prioritize competing demands; must be a flexible problem solver.
  • Ability to take a straightforward, proactive approach to supporting of the Executives.
  • Adept and energized working in a fast paced, changing environment.
  • Able to work independently and take initiative with little direction.
  • Exhibit a high degree of maturity, honesty, trust, and integrity and cultivates these qualities in others.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); and G-Suite.
  • Valid license and ability to drive.
