Office Administrator



Responsibilities & Duties:

  • Welcoming visitors and directing them to the appropriate office/personnel
  • Clerical duties such as answering the phone, responding to emails, preparing documents, or distributing memos office/company wide, and accept all deliveries
  • Overseeing maintenance of office facilities and equipment (copiers, postage machine etc.)
  • Scheduling meetings and managing conference room outlook calendars
  • Distributing mail
  • Maintain office supplies inventory along with our job sites and sales offices
  • Ordering weekly groceries for the office
  • Ordering hardware such as laptops, monitors, cell phones, and internet routers for new/existing staff members
  • Work closely with IT in assisting staff members with any tech issues
  • Maintaining companywide directory
  • Updating ADP portal with any company news and announcements along with work anniversaries and birthdays monthly
  • Assist in preparing whatever is needed such as car, travel, hotel, and catering for special office visitors or events
  • Responsible for overall tidiness of the office common areas and supply rooms
  • Ordering business cards for staff
  • Assigning and administering suite keys and building access cards
  • Responsible for handling Fed Ex/overnight shipments
